Job Summary 

The Executive Assistant will provide high-level administrative support to an Executive and one to two Senior Managers who report directly to him, as well as their broader project team as needed. This position requires exceptional organizational skills, discretion, and a proactive approach to problem-solving. In addition to general administrative responsibilities, the Executive Assistant will participate in various ad hoc tasks and projects, including but not limited to the areas outlined below. 

Primary Responsibilities  

  • Provide direct administrative support to the Executive and one to two Senior Managers, including email correspondence and generation/distribution of memos, letters, spreadsheets, and forms;
  • Provide extensive calendar management utilizing Outlook to schedule and coordinate client calls, meetings, events, and personal appointments;
  • Schedule and coordinate onsite and offsite meetings and logistics, including executive meetings, board meetings, external visitors, and candidate interviews;
  • Track and help drive completion of key deliverables and follow up on outstanding items such as meeting notes and action items;
  • Coordinate and arrange travel itineraries and accommodations including air and ground transportation, hotel stays, and dining reservations;
  • Draft and prepare written materials including reports, agendas, procedural guides, instructions, and other highly confidential documents;
  • Proofread documents for accuracy, completeness, and proper grammar;
  • Maintain confidentiality in handling sensitive information and conversations;
  • Prepare and/or input financial data into systems such as Timberline, Concur, time-off management platforms, and Microsoft Excel;
  • Collaborate closely with Talent Acquisition, Human Resources, and other Executive Assistants across JRM;
  • Notify the administrator of any approved high-level personnel time-off requests;
  • Provide support to the Executive Management Team on ad-hoc assignments as needed. 

 Qualifications 

  • At least three years of experience as an Administrative Assistant or Executive Assistant
  • Demonstrate strong attention to detail and quality
  • Be able to prioritize and understand prioritizations of what the Executive needs to accomplish, be intuitive
  • Excellent Resourcefulness; excel at problem-solving, taking initiative, and being very resourceful;  
  • Exceptional written and verbal communication skills
  • You are a team player who knows when to act independently and when to seek second opinions
  • Ability & Willingness to learn & understand company business relatively quickly & anticipate needs  

 Computer Systems 

  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, and Outlook), and overall tech-savvy 

 Salary Information

  • To the extent this position is performed in New York, the annual salary range for this role is $80,000 - $100,000.
