Position Overview
K18 is seeking an Office Manager and Marketing Coordinator to join our team. The right candidate will be responsible for overseeing administrative functions and ensuring the office runs efficiently as well as supporting the marketing team in executing on partnerships and community building. We are looking for a self-starter with strong organizational skills, who thrives on being part of a team. This role is hybrid and will be in office three days a week.
Responsibilities (including but not limited to)
- Manage employee and guest office access, including entry key-cards, parking, desk hoteling and availability, etc.
- Manage office supplies inventory, ordering, and vendor relationships
- Coordinate office maintenance, repairs, and equipment management
- Implement and maintain office policies and procedures
- Provide on-site logistics and administrative support to ensure successful on-site meetings (with both internal and external parties) by ensuring space if properly booked/reserved and necessary supplies and support services are available, including catering, stationary, IT, etc.
- Maintain office compliance with safety protocols, HR policies, and operational standards
- Assist in planning and coordination of on-site team events/activities
- Monitor and report on office expenses, supply inventory, and administrative budgets
- Collaborate with IT department in maintaining all office equipment (e.g. printers, copiers, digital displays)
- Handle incoming and outgoing mail, shipping, and deliveries
- Serve as the primary point of contact for office-related inquiries and issues
- Pack, and ship out product samples to customers, influencers, and stylist gifting/classes directly and electronically via Shopify
- Maintain shipping documents, tracking information, and follow up on shipments/returns
- Support other office-relevant projects as needed
- Generate marketing invoices and track accounts payable to ensure partners are paid on time
Skills & Qualifications
- Minimum 3-5 years experience as an office manager or similar position
- Must be willing and able to work from office in El Segundo 3-5 days a week
- Excellent communication & writing skills, with proper use of grammar & spelling
- Strong organization & time management
- Positive attitude, team-player, & growth mindset; willing to learn and assist a variety of projects across department teams
- Strong computer skills, with proficiency in Outlook, Word, Excel, PowerPoint.
Salary Range: $70,000-$75,000 USD
This range represents the low and high end of the anticipated base salary range for this position. The actual base salary will depend on numerous factors such as: experience, knowledge and skills, and if the location of the job changes.
