What You’ll Do:

We are seeking an Executive Assistant to provide dedicated support to our Chief Financial Officer (CFO). In this role, you will work closely with the CFO and collaborate across the organization to facilitate seamless business management processes. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities effectively.

The ideal candidate will excel in administrative coordination, exhibit proficiency with technology and business tools, and demonstrate a proactive approach to operational support. We are looking for a resourceful self-starter and strong communicator who thrives in a dynamic environment and brings a high level of ownership and professionalism to their work.

 

Required location: Waltham, MA (hub-based, onsite 3-4 days per week)

 

Responsibilities:

  • Provide comprehensive administrative support to the CFO, including calendar management, travel coordination, and expense reporting
  • Prepare materials for meetings, presentations, and conferences, ensuring all resources are accurate and available
  • Manage logistics for on-site and virtual meetings, including scheduling, technology setup, and follow-up tasks
  • Handle sensitive and confidential information with discretion and ensure timely execution of action items from executive meetings and board presentations
  • Monitor and prioritize incoming communications, ensuring critical matters are addressed promptly
  • May provide support to additional executive team members based on business needs
  • Act as a liaison between the CFO and internal/external stakeholders to facilitate efficient communication and decision-making
  • Track and follow up on key deliverables, deadlines, and projects to ensure timely completion
  • Support financial reporting processes, including compiling data and maintaining accurate records
  • Collaborate with team members to improve administrative workflows and support organizational priorities
  • Assist with planning and execution of strategic initiatives, providing operational and logistical support
  • Maintain and organize key financial documents and ensure adherence to company policies and procedures
  • Coordinate cross-functional activities that align with the CFO’s objectives and company goals

 

Required Qualifications:

  • 10+ years of administrative experience, with at least 5 years supporting C-Suite executives, preferably in finance or related industries
  • Excellent time management skills with a proven ability to meet deadlines in a fast-paced environment
  • Strong verbal and written communication skills, with the ability to interact effectively at all levels of the organization
  • High level of professionalism and a positive, solutions-oriented attitude
  • Exceptional attention to detail, organizational skills, and ability to handle multiple priorities
  • Proficiency in Microsoft Office Suite, including Excel and PowerPoint; familiarity with financial software or tools is advantageous
  • Demonstrated ability to manage sensitive and confidential information with integrity and discretion
  • Analytical mindset with a proactive approach to problem-solving and process improvement
  • Ability to work independently with minimal supervision while contributing as part of a team

 

Preferred Qualifications:

  • Experience in the biotech, pharma, or financial services industries is a plus

 

Education:

  • Bachelor’s degree preferred

Salary Range

$90,000 - $110,000 USD

For Full Time Roles: This range represents the company’s good-faith estimate of the salary at the time of posting.
