This is a remote contract role based in the Philippines. The position requires overnight hours, generally Tuesday through Saturday, to align with U.S. business hours.

Role Overview
Kasa is hiring a Group Sales Coordinator to support our group sales pipeline and deliver a high-quality experience for group organizers, guests, and internal partners. This role is the operational backbone of group sales — ensuring leads are responded to quickly, quotes and contracts are accurate, details are captured correctly, and handoffs to Operations and Guest Experience are seamless.
You’ll be responsible for managing group booking workflows, coordinating availability and pricing across markets, tracking deal progress in Salesforce, and keeping multiple stakeholders aligned throughout the booking lifecycle. This is a great opportunity for someone who loves fast-paced coordination, hospitality, and process excellence — and wants to grow within sales operations or commercial hospitality.
Key Responsibilities
Group Lead Intake & Qualification
- Respond quickly to inbound group inquiries (weddings, sports teams, corporate events, production crews, conferences, etc.).
- Gather key requirements: dates, market(s), number of rooms/units, room type mix, budget, special needs, and any event-related details.
- Qualify leads using established criteria and route to the appropriate sales rep or manager.
Quote & Booking Support
- Support the sales team in building group quotes and proposals, confirming availability and rate strategy with Revenue Management.
- Coordinate booking logistics, including deposits (if applicable), rooming list collection, and reservation deadlines.
- Ensure all booking details are accurate and aligned before confirmation.
Contracts & Documentation
- Assist with contract workflows: prepare documents, collect required information, track approvals, and support signature processes.
- Maintain clean documentation in Salesforce (or CRM): lead source, group details, communications, deal stage, key terms, and next steps.
- Ensure all policies (cancellation, payment, check-in expectations, occupancy rules) are clearly communicated to the organizer.
Cross-Functional Coordination & Handoff
- Coordinate with Operations and Guest Experience teams to ensure group stays are set up correctly (arrival expectations, unit assignments, special requests, early check-in/late checkout considerations).
- Proactively identify and escalate issues: inventory constraints, operational limitations, risk factors, or conflicting requirements.
- Support internal alignment and communication across teams to prevent last-minute surprises.
Guest & Organizer Experience
- Provide a professional, high-touch experience for group organizers — responsive, clear, and solution-oriented.
- Support changes or requests that arise pre-arrival (date shifts, rooming list updates, special accommodations).
- Ensure organizers feel confident and supported through every step of the process.
Process Improvement & Reporting Support
- Identify opportunities to improve group sales workflows (templates, intake forms, reporting, SLA response times).
- Support reporting on pipeline, conversion, response times, and operational handoff quality.
- Help standardize playbooks for different group types (sports, weddings, corporate, events) to improve efficiency and experience.
What You Bring
Required Qualifications
- 2+ years of experience in hospitality, sales support, group reservations, event coordination, customer success, or operations.
- Strong written and verbal communication skills with a customer-first mindset.
- Highly organized and detail-oriented; able to manage multiple deals and timelines simultaneously.
- Comfortable working in Salesforce (or similar CRM), Google Workspace, and collaboration tools (Slack, Zoom, etc.).
- Strong follow-through: you take ownership, keep tasks moving, and close loops.
Preferred / Bonus Qualifications
- Experience supporting group hotel sales, corporate travel programs, or event accommodations.
- Familiarity with revenue concepts (yield, negotiated rates, channel strategy) and inventory coordination.
- Experience working across multiple markets or property types.
- Experience in a high-growth startup or fast-paced customer environment.
What Success Looks Like (First 3–6 Months)
- Group inquiries are responded to quickly and consistently with high-quality communication.
- Quotes, contracts, and booking details are accurate and on-time — with minimal rework.
- Salesforce/CRM pipeline data is clean, reliable, and up to date.
- Sales-to-ops handoffs are complete and proactive, enabling smooth arrivals and fewer escalations.
- Group organizers report a great experience and confidently rebook for future stays.
