Job Summary

The Program Manager will play a critical role within the Program Management Office (PMO), responsible for planning, managing, and delivering complex, cross‑functional initiatives that support strategic priorities, operational performance, and technology adoption.

 

This role focuses on hands‑on project and program execution, including ownership of integrated plans, delivery milestones, risk management, and stakeholder coordination. The role also includes direct involvement in project management tool implementation and optimization, as well as partnership with procurement and vendors to support successful program delivery.

 

The ideal candidate brings strong execution discipline, experience managing ambiguity, and the ability to influence without authority.

 

Key Responsibilities

Program & Project Delivery

  • Lead end‑to‑end delivery of complex projects or small‑to‑mid‑sized programs, managing scope, schedule, risks, dependencies, and outcomes.
  • Develop and maintain detailed project plans, milestones, resource needs, and success metrics.
  • Drive day‑to‑day execution, ensuring work stays on track and aligned to business objectives.
  • Facilitate regular project and program meetings, track action items, and proactively escalate risks or issues.

 

Project Management Tools & PMO Enablement

  • Support or lead the implementation and adoption of project and program management tools (e.g., Smartsheet, Jira, Asana, MS Project).
  • Partner with PMO leadership, IT, and business teams to define workflows, reporting standards, and tool configurations.
  • Create and maintain project dashboards, status reports, and delivery metrics to improve visibility and decision‑making.
  • Promote consistent use of PMO tools, templates, and best practices across teams.

 

Procurement & Vendor Coordination

  • Partner with Finance, Legal, and Technology teams to support vendor onboarding, contract execution, and project‑related purchasing activities.
  • Coordinate vendor deliverables, timelines, and dependencies as part of overall project plans.
  • Track vendor‑related costs, invoices, and budget impacts to support financial accountability.
  • Flag risks related to vendor performance, scope, or spend and support mitigation planning.

 

 

Stakeholder & Cross‑Functional Collaboration

  • Serve as a primary point of coordination between business, operations, product, and technology teams.
  • Build strong working relationships with stakeholders to drive alignment, accountability, and timely decisions.
  • Communicate project status clearly and consistently, tailoring messaging for different audiences.
  • Support senior program leaders by preparing materials, updates, and analysis as needed.

 

Change Management & Delivery Readiness

  • Support change management activities, including stakeholder communications, training coordination, and readiness assessments.
  • Ensure projects include appropriate documentation, training plans, and adoption considerations.
  • Track adoption risks and partner with functional leaders to address gaps.

 

Continuous Improvement

  • Contribute to PMO process improvement efforts, including enhancements to templates, reporting, and delivery standards.
  • Capture lessons learned and apply insights to future projects.
  • Identify opportunities to streamline workflows, improve delivery efficiency, or leverage automation.

 

Qualifications

Required

  • Bachelor’s degree in business, operations, technology, or related field, or equivalent experience.
  • 5–8+ years of experience in project or program management within cross‑functional environments.
  • Demonstrated experience implementing or administering project management tools and supporting adoption across teams.
  • Experience partnering with procurement and managing vendor‑related project work, including contracts, budgets, or deliverables.
  • Advanced proficiency with PM dashboards, reporting, and workflow automation.
  • Strong organizational, analytical, and problem‑solving skills.
  • Excellent communication skills with the ability to influence without direct authority.
  • Must be comfortable maintaining discretion and confidentiality around sensitive information.

 

Preferred

  • PMP, CAPM, or equivalent certification.
  • Prosci or similar change management experience or certification.
  • Experience in healthcare, health technology, or regulated environments.
