KAYAK is seeking an organized, hardworking, highly motivated individual to drive our global real estate projects, create world-class office experiences for employees and handle day-to-day office operations in our NORAM offices!
Note, this role is required to work from our Norwalk, CT office at least 3 days per week.
This role is two-fold:
Manage KAYAK's global Real Estate footprint
- Project manage office expansion projects, including overseeing renovations, office moves, or setting up new locations - always thinking of new ways to use our office footprint
- Act as liaison and coordinate between the group, sister brands, landlords and property management for leases, office maintenance and renovation projects, or compliance matters
- Ensure all our physical office spaces and relationships with building management teams, vendors, and suppliers are well maintained
- Act as a central point of contact and maintain organized records, proactive communication, while coordinating with internal teams, scheduling, and ensuring smooth workflow.
Office Management for Norwalk, Miami and São Paulo offices
- Create a positive, engaging, and inclusive workplace experience where your colleagues can do their best work
- Coordinate all office purchasing, inventory and manage weekly onsite and remote catering
- Maintain office budgets related to supplies, events, and all operational spending
- Support Office Leads and team up with Social Committee to coordinate various company outings & in-office events
- Be responsible for general upkeep and office maintenance needs.
- Manage vendor relationships, including existing contracts and developing new relationships
- Welcome visitors and interviewees, assisting in coordinating plans, including accommodation and transportation if needed
- Coordinate shipping and letter distribution
- Collaborate with Legal for all office operation-related contracts
- Provide light assistance to Executives for office operations and needs
- Be proactive; talk with employees and find out what keeps them happy and productive
- Oversee emergency procedures, fire safety, and first aid protocols
- Maintain adequate first aid supplies and ensure designated first-aiders are trained
- Communicate and enforce health and safety policies
- Be a part of the global Workplace Experience team and collaborate and participate across the Office Manager network
- Assist US Team Lead with admin tasks and coverage during PTO as needed

There are a variety of factors that go into determining a salary range, including but not limited to external market benchmark data, geographic location, and years of experience sought/required. The range for this United States located role is $70,000.00 - 80,000.00.
In addition to a competitive base salary, roles are eligible for additional compensation and benefits including: annual cash bonus; health benefits; flexible spending account; retirement benefits; life insurance; paid time off (including PTO, paid sick leave, medical leave, bereavement leave, floating holidays and paid holidays); and parental leave and benefits.
