Administrative Assistant - Civil Construction

We are looking to hire an Administrative Assistant for our Civil group in St. Louis, MO. This position will provide high-level administrative and organizational support to the Vice President in a dynamic civil construction environment. Ensure efficient office operations, assist in project management tasks, and facilitate communication between internal teams and external stakeholders.

Primary Responsibilities

  • Manage the VP's calendar, schedule appointments, and coordinate meetings.
  • Draft, edit, and format correspondence, reports, and presentations using Microsoft Office Suite (Word, Excel, PowerPoint).
  • Support strategic planning meeting process with VP and maintain scorecard.
  • Organize and maintain digital and physical files for contracts, project documents, and compliance records.
  • Screen and route phone calls, emails, and inquiries.
  • Coordinate travel arrangements and expense reporting for the VP.
  • Prepare and distribute meeting agendas, minutes, and action plans.
  • Generate data-driven reports using Excel, including charts and pivot tables for project analysis.
  • Maintain records of union agreements, grievances, and meeting minutes.
  • Assist in scheduling and organizing labor-management meetings, including preparation of supporting materials.
  • Ensure compliance with collective bargaining agreements and company policies.

Minimum Qualifications

  • Highschool Diploma plus a minimum of two years of experience supporting similar primary responsibilities.
  • Advanced in Microsoft Office products.
  • Ability to review and understand PDF documentation.
  • Timberline & Salesforce experience a plus.
