We are currently looking for a Receptionist to join our team
About the Role
We’re looking for a proactive, friendly, and highly organized Receptionist to be the face of our growing organization. This role is perfect for someone who thrives in a fast‑paced environment, enjoys wearing multiple hats, and brings a positive, solutions‑oriented attitude to every interaction. You’ll play a key role in shaping the daily office experience for employees, clients, and visitors.
Key Responsibilities
- Front Desk & Visitor Experience
- Greet and welcome visitors, candidates, and partners with warmth and professionalism.
- Manage the front desk area, ensuring it is clean, organized, and reflective of our company culture.
- Handle incoming calls, emails, and general inquiries, routing them to the appropriate team members.
- Be the main point of contact for interactions with the building for maintenance requests, employee access, etc.
Office Operations & Support
- Assist with day‑to‑day office operations, including mail distribution, package handling, and supply management.
- Coordinate meeting rooms, schedule conference spaces, and support office events or team gatherings.
- Partner with the Director, P&C US to maintain a smooth, efficient, and enjoyable workplace environment.
Administrative Support
- Provide administrative support to various teams, including scheduling, document preparation, and data entry.
- Assist with onboarding tasks such as preparing welcome materials and setting up workstations.
- Support travel coordination, expense processing, and vendor communication as needed.
Culture & Team Engagement
- Help organize office events, celebrations, and culture‑building activities.
- Serve as a go‑to resource for employees needing assistance with office‑related questions or tasks.
- Contribute ideas to improve office processes, employee experience, and overall workplace operations.
Qualifications
- 3-5 years of experience in a receptionist, administrative, or office support role (startup experience a plus).
- Strong communication and interpersonal skills; comfortable interacting with employees at all levels.
- Highly organized with excellent attention to detail and the ability to multitask.
- Proficient with basic office software (Google Workspace or Microsoft Office).
- Positive attitude, resourcefulness, and a willingness to jump in wherever needed.
- Comfortable in a dynamic, evolving environment where priorities can shift quickly.
