Referral Coordinator

Summary:
The Referral Coordinator is responsible for managing all inbound and outbound referrals within the firm’s Intake department. This role requires prior experience completing legal intake and the ability to effectively communicate with both prospective clients in the referral pipeline and the partner firms that receive referrals from us. The Referral Coordinator plays a critical role in ensuring timely follow-up, accurate data entry, and strong partner relationships that support the firm’s growth and client service objectives.
This is an in-person position in our Lake Mary office five days per week. The base compensation for this position, depending on experience, is $52,000 to $55,000 per year, plus a year-end discretionary bonus and benefits.
Key Responsibilities:
Referral Management & Intake
- Receive, review, and process all incoming referrals, ensuring all required information is collected.
- Manage outbound referrals by coordinating directly with partner firms, ensuring complete and accurate handoff.
- Track the progress of referrals to monitor outcomes and follow up as necessary.
Communication & Partner Engagement
- Serve as a liaison between referrals, the intake department, and partner firms.
- Provide updates and maintain strong communication with partner firms regarding referrals sent.
- Support the Director of Partner Relationships by strengthening existing partnerships and helping identify opportunities for improved collaboration.
- Reach out to prospective clients in the referral pipeline to provide outcome on their case.
Data Entry & Reporting
- Enter and maintain accurate records of all inbound and outbound referrals in the firm’s case management system.
- Monitor referral trends and provide reporting to intake leadership and the Director of Partner Relationships.
- Ensure compliance with internal standards for documentation, auditing, and performance tracking.
Qualifications:
- Education:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Experience:
- Minimum 1–3 years of experience in legal intake, client services, or related administrative roles.
- Prior experience working in a law firm or legal services environment strongly preferred.
Skills:
- Excellent communication skills with both clients and professional partners.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with case management or CRM systems.
- Commitment to confidentiality and professionalism.
