Docket Supervisor

Purpose:
The objective of this position is to develop, maintain, and implement processes and procedures in support of our firm’s docketing goals, policies, and protocols to establish efficiency, minimize the risk of missed deadlines, and ensure quality. This position will work directly with attorneys and the Litigation Support Team to support our firm’s goal of always providing exceptional service to our clients.
This is a full-time, remote position. If the candidate is located near our Washington, D.C., or Coral Gables office, they may choose to work a hybrid or in-person schedule. Compensation for this position includes an annual base salary of $130,00 to $190,000, commensurate with experience, plus the role is eligible for a year-end discretionary bonus and benefits.
Essential Functions:
- Plan and execute the firm’s litigation docketing strategy.
- Evaluate and assess the firm’s current docketing software.
- Identify process improvement opportunities and provide recommendations for implementation of new practices.
- Provide e-filing assistance to the Litigation Support Team as needed.
- Maintain awareness of all trends, developments, and new technologies within the field.
- Research and interpret state and federal court rules, especially in jurisdictions in which we are practicing.
- Provide guidance on filing procedures across various courts and agencies.
- Perform date calculations while applying jurisdictional rules.
- Document and communicate policies and workflow processes to attorneys and the Litigation Support Team.
- Disseminate complex information in a way that can be easily understood and retained.
- Interact with third-party vendors and court personnel to resolve any issues.
- Design metrics to track trends in usage and compliance with firm obligations.
- Track and maintain attorney bar and pro hac vice admissions and renewals.
- Track and maintain attorney PACER and CM/ECF login credentials.
- Oversee the auditing of all cases within the firm.
- Provide quality control for all docket entries and oversee the distribution of regular docket reports.
- Manage the workload, performance, and professional development of direct reports on the docketing team, providing feedback and guidance to support individual and team success.
- Special projects and duties as assigned.
Knowledge, Skills, Abilities:
- Deep knowledge of federal courts’ CM/ECF system required.
- Knowledge of Illinois and California state e-filing systems required. Knowledge of e-filing systems in other jurisdictions strongly preferred.
- Ability to work extended hours and maintain flexibility outside of regular business hours to meet firm needs and deadlines when necessary.
- Ability to work independently or collaborate in a team, including across departments.
- Excellent verbal and written communication skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Capable of independent judgment when solving problems on own.
- Strong sense of urgency and professional dedication.

- Experienced with Microsoft Office Suite, with the ability to learn new or updated software.

- Excellent organizational skills, with the ability to multi-task and adapt to changes quickly.
Education/Experience:
- Bachelor’s degree strongly preferred.
- 7+ years of litigation docketing experience at a law firm.
- Prior management experience preferred.
Language Ability:
- Must be able to read, write, and speak fluent English.
