People Operations Manager
Job Title: People Operations Manager
Employment Status: Full-time
Location: Vienna, Austria
Compensation: €70,000 - €90,000
*compensation may be negotiated based on experience level
Job Summary:
We're looking for a proactive and organized individual with experience in HR and office management. Key responsibilities include overseeing HR activities for our offices in Austria, managing employee lifecycle processes, assisting with payroll, office space management, and fostering a positive workplace culture. Proficiency in English and German, along with familiarity with Austrian employment laws, is essential.
We offer a competitive salary, stock options, and the opportunity to work in a dynamic startup environment in the healthcare software industry. This hybrid role requires at least three days per week on-site in Vienna. If you're reliable, detail-oriented, and ready to contribute to a global team, you could be a part of our mission to create safe and reliable medical software!
Ideally you will be currently located in Vienna or able to relocate quickly. Unfortunately, we are unable to support non-EU citizens for the position at this time.
About You:
- At least 5 years experience in HR and office management, preferably in Austria
- Experience managing HRIS (Human Resources Information Systems) and employee data management
- Familiarity with employment laws and regulations in Austria
- Startup-ready: ambiguity energizes you and you default to action
- You’re a driver, not a passenger, and a systems thinker who builds simple, durable processes
- Attention to detail and accuracy in handling administrative and financial tasks
- Excellent written and verbal communication skills in English
- Sufficient German skills, e.g. to fill out employment agreement templates
- Proficiency in using office software and HR systems
- Bachelor's degree in Business Administration, Human Resources, or other relevant field, is a plus
- Strong interpersonal, organizational, and strategic skills
- Reliable and trustworthy with sensitive and confidential information
- Proven ability to handle employee relations issues with diplomacy and discretion
About the Role:
- Build Our People Foundation: Own end-to-end HR operations for Austria and our European EOR employees and contractors. You'll design onboarding experiences that get people excited from day one, manage performance cycles that drive growth, and handle offboarding with care. Keep our HR systems accurate and our employee records organized.
- Drive Compliance & Contracts: Ensure we're compliant with European employment law, health and safety regulations, and local requirements. Partner with external lawyers and accountants, prepare employment agreements, and support payroll processing to keep everything running smoothly.
- Partner with Leadership on People Strategy: Act as an HR business partner to European leaders, using data to drive decisions. Track and analyze key metrics—eNPS, turnover, performance data, hiring forecasts—to identify trends, flag risks, and recommend actions that improve our People Operations.
- Shape Culture & Engagement: Be the go-to person for employee questions and concerns. Mediate conflicts, implement engagement strategies, coordinate team events, and promote our values of diversity and inclusion. Track what makes people stay and what makes them leave—then act on it.
- Develop Our People: Identify training needs, coordinate professional development, manage learning budgets, and support managers with performance improvement when needed. Design compensation structures and manage our benefits programs, including annual reviews and open enrollment.
- Ensure Operational Success: Manage PTO tracking, coordinate office space and supplies, organize receipts and financial documentation, and handle the administrative tasks that keep the team focused on building. Support recruiting efforts when needed, stepping in to keep hiring moving during busy periods.
