ABOUT THE OPPORTUNITY
We are looking for a highly organized & proactive Temporary Sample & Showroom Assistant to join the KHAITE team. This role will report to the PR Manager and will be based out of the NYC HQ offices. This role will support the movement and coordination of product samples across the business and the coordination of showroom events. This role is the connective tissue between PR, brand, sales, and facilities - ensuring the right product is in the right place at the right time, and that our showroom and shoot production processes run smoothly.
The ideal candidate is a natural coordinator: someone who communicates clearly, tracks details obsessively, and takes genuine pride in keeping things running smoothly behind the scenes. Prior experience in a sample room, showroom, or production environment at a fashion brand or PR agency is preferred.
ESSENTIAL DUTIES & RESPONSIBILITIES
Sample Trafficking
- Serve as the central point of coordination for all sample movement across departments, including PR, brand, e-commerce, sales, and facilities
- Track where samples are at all times: which team has them, when they're due back, and what's needed next, using the brand's sample management system
- Execute and manage all logistics relating to sample trafficking such as messenger coordination and domestic and global shipments using shipping carriers such as WorldNet, DHL and UPS
- Pay mindful attention to the transport standard and status of samples – flagging repairs, steaming, pressing, and dry cleaning – respectively
- Process all inbound and outbound sample requests promptly, ensuring product is pulled, prepped, and delivered to the right team on schedule
- Follow up consistently on outstanding samples across internal teams
- Flag conflicts in sample availability across competing needs and help teams prioritize accordingly
- Support seasonal inventory and archive reconciliation to ensure sample sets are accurate and accounted for
Showroom Setup & Production
- Coordinate showroom logistics with Visual Merchandising, PR, Brand, sales, and facilities teams to align on scheduling and showroom priorities across activations
- Assist in the setup, organization, and breakdown of the showroom for NY + PARIS market appointments, press days, and pre-runway styling sessions
- Be present and support on-site during market and press visits as needed, ensuring a seamless experience for internal and external guests
E-Commerce Shoot Support
- Manage sample trafficking for e-commerce photo shoots in coordination with the digital and brand teams — pulling, prepping, and returning product around each production day
- Track sample whereabouts across shoot days and flag any discrepancies, missing pieces, or damage promptly
SKILLS & REQUIREMENTS

- 1–3 years of experience in a sample coordination, showroom, or fashion production role; recent graduates with strong internship experience will be considered
- Familiarity with luxury fashion brand standards and a genuine interest in the industry
- Exceptional organizational skills with rigorous attention to detail and follow-through
- Comfort with international carnet specifications and familiarity with large-format sample requests
- Ability to manage competing priorities and deadlines across multiple teams simultaneously
- Clear, proactive communicator - comfortable working cross-functionally with PR, sales, creative, and operations
- Proficiency in Microsoft Office + Google Suite; experience with sample tracking or asset management tools a plus
- A collaborative, low-ego attitude with a strong sense of ownership over day-to-day operations
- Physical ability to support showroom setup, including moving racks, handling garments, and general production tasks
- Occasional international travel

WE OFFER
The salary range is $20.00-23.00/hr. The rate of pay offered will be dependent upon the candidates' relevant skills and experience.
