Assistant, Business Affairs

We are looking for a bright, detail-oriented, and organized administrative assistant to support our Business Affairs department in our Los Angeles office. In joining our team, you will have the opportunity to learn the legal aspects of the music business, while actively liaising with various departments across Kobalt Music Group. This is an exciting opportunity to grow your career within a close-knit and supportive global team in the dynamic world of music publishing.

WHAT YOU WILL DO: CORE RESPONSIBILITIES:

  • Prepare and process legal agreements for signature, create deal summaries, draft correspondence and process terminations.
  • Track and manage deals from inception to completion. Input deal status information into Salesforce (or other systems used by Kobalt) to ensure data accuracy for team access and reporting, generating summaries or reports as needed.
  • Maintain and update departmental spreadsheets, calendars, and databases; manage departmental filing.
  • Verify invoices, raise purchase orders and diligently track payments as necessary.  Create and submit expense reports.
  • Light drafting, including without limitation letters of direction, NDAs and other routine legal documents, as requested.
  • Perform other general office duties (e.g. coordinating occasional travel, scheduling meetings, etc) and special projects, as requested by members of the BA team.

WHAT YOU WILL BRING: SKILLS & EXPERIENCE:

  • Demonstrated working experience in a similar administrative or legal support role, ideally in a fast-paced, high-volume environment
  • Ability to work independently, manage multiple matters simultaneously and adapt quickly to changing priorities
  • Exceptional organizational and prioritization skills with meticulous attention to detail and a strong sense of follow-through
  • Strong proficiency in all Google Suite and Microsoft Office programs, as well as the ability to rapidly learn new internal systems quickly (experience with Netsuite, DocuSign, SAP Concur, and/or Salesforce is a plus).
  • Strong verbal, written and interpersonal communication skills and ability to maintain the highest level of confidentiality
  • A keen interest in and knowledge of music publishing and broader music business is strongly preferred.
