Job Type: Full-Time, Hourly (Non-Exempt) 

Salary range: $34 - $35/hr. 

Job Location: Kodiak HQ: Park City, Utah – On-Site/Hybrid  

 Individual base salary for this role ultimately will depend on numerous factors, including but not limited to experience, job-related skills, relevant education or training, certifications, etc. As such, pay for the successful candidate could fall anywhere within the stated range. Beyond base salary, we offer competitive health, dental, 401k, and wellness benefits beginning on the first day of employment. This role also is eligible to participate in Kodiak's annual discretionary bonus program, which is dependent on various factors, including individual and company performance. 

 


 

The Executive & Office Coordinator provides comprehensive administrative and operational support to senior executives while also contributing to broader People & Culture (P&C) and office coordination needs. In addition to managing calendars, meetings, travel, and correspondence for executives, this role will assist with key P&C initiatives such as onboarding, training coordination, and employee communications. The Executive & Office Coordinator will provide front desk coverage as needed, coordinate onsite interview logistics for finalist candidates, and ensure a welcoming, organized, and professional office environment. This position serves as the operational hub that supports leadership effectiveness, enhances candidate and employee experiences, and keeps day-to-day office and event logistics running smoothly. 

  

What will this position do? 

  • Manage executive calendars, prioritize meetings, and coordinate appointments.
  • Schedule, prepare, and support in-person and virtual meetings, including catering, room setup, and materials.
  • Arrange travel and manage expense reporting for executives.
  • Provide front desk coverage during Office Manager absences.
  • Support P&C administrative tasks, including onboarding (desk setup, welcome kits, templated communications) and assisting with scheduling and managing onsite candidate interviews and other recruiting focused assignments.
  • Coordinate and host onsite finalist interview visits, including greeting candidates, managing agendas, arranging travel, and ensuring a smooth experience.
  • Assist with notetaking during meetings and calibration sessions.
  • Schedule and coordinate key events such as training sessions, calibrations, and milestone meetings.
  • Send follow-up communications and reminders for surveys, goals, and development plans.
  • Help plan and execute team events and trainings. 

  

What are we looking for? 

  • 2+ years of experience as an Executive Assistant or in a similar administrative role.
  • Highly organized with exceptional attention to detail and follow-through.
  • Strong communication and people skills; able to collaborate across teams.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to adapt to change and work independently with minimal direction.
  • Proven ability to manage multiple priorities while maintaining a professional, welcoming presence.
  • Travel up to 5% required: We do meet as a company and/or as a department a few times a year. Anticipate possible travel up to a few times each year. 

  

Ideally you may also have:  

  • Organizational Agility – The ability to juggle calendars, events, onboarding, and travel logistics simultaneously with accuracy and attention to detail. You’ll want to see examples of how they’ve prioritized competing demands. 
  • Proactive & Self Directed – The ability to perceive and anticipate needs, be able to resolve issues before they escalate.   
  • Discretion & Trusted Partnership – Since this person will interact with executives and candidates (and sometimes sensitive P&C processes), a high level of judgment, confidentiality, and trustworthiness is essential. 
  • Collaborative Team Player – Works seamlessly with the P&C team and other functions, representing Kodiak’s culture and values. Serves as a company ambassador—whether coordinating with executives, supporting P&C processes, or ensuring candidates and employees have a positive experience.
