The Immigration Legal Administrative Assistant partners with attorneys and paralegals to provide solutions to our clients, creating unlimited learning opportunities and increased levels of engagement. The Immigration Legal Administrative Assistant will also be a member of the Legal Administrative Assistant team and collaborate with other Legal Administrative Assistants on projects as needed.
An Immigration Legal Administrative Assistant at Koley Jessen has the ability to multitask in a consistently fast-paced environment and possesses proficiency in Microsoft Office applications while embracing relevant technology to actively improve his/her skills through formal and informal learning/training. The Immigration Legal Administrative Assistant will also possess effective verbal and written communication skills and has the ability to adapt his/her communication style to suit different audiences. An eagerness to learn and perform at a high-level of engagement and practice critical thinking skills is ideal.
Job Responsibilities Include:
- Administrative tasks (frequent telephone communication with clients, attorneys and internal staff, expense report preparation, printing, scanning, mailings, calendar management and scheduling, maintaining and organizing electronic files, and possible coordination of travel arrangements)
- Legal-specific tasks (document revisions, conversions, redlining, file preparation, docketing and immigration tracking relevant to deadlines)
- Other higher-level tasks as assigned
- Tasks specific to Immigration and Employment include:
- Correspond with foreign nationals (primarily in English or Spanish) to gather documentation, prepare nonimmigrant visa applications, and schedule consular appointments
- Assist attorneys and clients with consular processing of nonimmigrant visa applications
- Prepare immigration filing packets and related materials

What You Need:
- At least two years as a legal or administrative assistant; prior experience in immigration law strongly preferred
- Proficiency in Microsoft Office (especially Excel) and comfort with other software tools
- Strong interpersonal skills and the ability to communicate clearly and professionally
- Ability to proactively manage deadlines and handle competing priorities
- Accuracy and precision in all aspects of work
- Ability to work effectively in a team setting
- Strong academic and professional background
