Accounts Payable Specialist

Overview:

The Accounts Payable (A/P) Specialist is responsible for accurately and efficiently processing vendor invoices, employee expenses, and payments in accordance with company policies and established deadlines. This role ensures the integrity of financial data, supports month‑end close activities, and maintains strong vendor relationships through timely and professional communication.  This is a full time, hourly, on-site position with the chance to work hybrid after onboarding.  Our office is currently located in Sandy Springs and we will be relocating to Alpharetta in May of 2026.

Key Responsibilities: 

Invoice Processing & Payment Management

  • Receive, review, and process vendor invoices for accuracy, approvals, and appropriate coding.
  • Match purchase orders, packing slips, and invoices (3‑way match) as applicable.
  • Prepare weekly payment runs (ACH, check, wire, credit card).
  • Maintain electronic and physical invoice files and documentation.

 Vendor Relations & Communication

  • Serve as primary contact for vendor inquiries; research and resolve discrepancies.
  • Maintain up‑to‑date vendor records including W‑9s, payment terms, and banking information.
  • Reconcile vendor statements and resolve payment issues promptly.

 Accounting & Compliance

  • Assist with month‑end close, including accruals, AP aging analysis, and reconciliation tasks.
  • Ensure compliance with internal controls, company policies, and audit requirements.
  • Support the annual 1099 reporting process.

 Process Improvement

  • Identify opportunities to streamline A/P workflows.
  • Participate in system upgrades, automation initiatives, and policy updates.

Qualifications: 

  • Education:  
    • 2+ years of Accounts Payable or general accounting experience.
    • Strong understanding of invoice processing, payment methods, and basic accounting principles.
    • Proficiency with ERP or accounting systems (e.g., Dynamics 365, NetSuite, SAP, Oracle, QuickBooks).
    • Intermediate Excel skills (VLOOKUP, pivot tables, filtering).
    • High attention to detail and strong organizational skills.
    • Excellent communication and problem‑solving abilities.
    • Experience in a high‑volume A/P environment.
    • Familiarity with 3‑way match and purchase order workflows.
    • Basic knowledge of GAAP.

Hourly Pay Rate

$24.04 - $28.85 USD
