Job Summary:
We are seeking an exceptional Project Manager, with a professional understanding of the TRICARE Health Plan, to join our team and provide invaluable support to the Defense Health Agency Health Care Operations Team. The Health Care Operations Project Manager provides high-level administrative and operational support to the leadership team within the Defense Health Agency. This role ensures the efficient execution of executive-level coordination, strategic planning, and communication efforts critical to the success of health care operations across the Military Health System (MHS).
Responsibilities and Duties:
Executive Administrative Support:
- Serve as the primary administrative liaison for senior leadership within DHA Health Care Operations.
- Manage and prioritize executive calendars, coordinate internal/external meetings, and ensure proper scheduling of strategic events.
- Prepare and process official correspondence, memoranda, and briefing materials in compliance with DoD standards.
Meeting & Conference Coordination:
- Plan and execute high-level meetings, conferences, and working groups including agenda development, logistics, documentation, and follow-up.
- Draft and coordinate meeting presentation materials and read-aheads.
- Provide on-site or virtual support for executive sessions, ensuring all materials, audio/visual/T, and documentation are in place.
- Record minutes, track action items, and maintain official records of decision-making forums.
Correspondence & Knowledge Management:
- Assist Draft, edit, and manage high-level correspondence for internal and external stakeholders, including Congressional and interagency communications.
- Coordinate taskers as requested by leadership via CATMS, TMT, as well as and other required tool.
- Maintain document paper and electronic file repositories and ensure controlled access and version control per DoD and DHA policy.
Stakeholder Coordination:
- Liaise with internal DHA directorates, Service branches, and external agencies to coordinate collaborative initiatives.
- Facilitate timely responses to taskings, inquiries, and information requests from senior leadership.
Qualifications and Skills:
- Minimum education: Bachelor’s degree in Health Information Management, Healthcare Administration, Computer Science, or a related field.
- Minimum of 5+ years of experience in executive-level administrative or project management roles, preferably within a federal health agency or DoD environment.
- Experience in coordinating and managing executive-level meetings, strategic planning, and official correspondence.
- Excellent communication skills, with the ability to write technical documentation clearly and concisely.
- Proven ability to collaborate with cross-functional teams, including IT, healthcare professionals, and business stakeholders
Preferred Qualifications:
- PMP, advanced degree or certifications related to healthcare technology, project management, or technical writing.
- Familiarity with Military Health System operations and DHA structure.
- Proficiency in Microsoft Office Suite, Defense Travel System (DTS), and DoD task tracking systems (e.g., CATMS, TMT).
- Strong organizational and project management skills.
- Excellent written and verbal communication.
- Professionalism and discretion in handling sensitive information.
- Ability to work independently in a fast-paced, high-profile environment.
