Job Summary:   

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to the Headquarters Air Force/Air Force Medical Service (HAF/AFMS) Governance Management team and manage the prestigious Trusted Care Heroes recognition program. This position requires an independent, self-motivated professional who can effectively coordinate complex administrative functions, manage multiple communication platforms, and support high-level governance activities within the Air Force Medical Service structure. 

The successful candidate will serve as the primary administrator for the AFMS Trusted Care Heroes program while providing essential administrative support to governance bodies, including meeting coordination, documentation management, and stakeholder communication across multiple networks and organizational levels. 

 

Responsibilities and Duties: 

Trusted Care Heroes Program Management 

  • Manage and sustain the comprehensive AFMS Trusted Care Heroes recognition program from nomination to award 
  • Process nominations from Units, Subject Matter Experts, Action Officers, and Primary/Coordinating Responsibility Offices 
  • Coordinate with the Air Force Surgeon General's office for Heroes' selection and recognition 
  • Organize recognition ceremonies, prepare award packages, and manage all logistical aspects of the program 

Administrative & Governance Support 

  • Provide high-level administrative support to AFMS governance bodies and leadership 
  • Manage organizational communications including email systems, calendars, and meeting coordination 
  • Prepare, distribute, and maintain official meeting minutes and memoranda 
  • Coordinate complex meeting logistics across NIPR and SIPR networks 
  • Maintain and update governance documentation including Headquarters Operating Instructions (HOI) 

Communication & Data Management 

  • Administer communication platforms including Knowledge Exchange and Milsuite 
  • Design and revise monthly communication products and materials 
  • Collect, analyze, and maintain databases and tracking systems 
  • Provide professional customer service through approved organizational channels 

Training & Development Support 

  • Assist with training venue management and serve as instructor for applicable events 
  • Support conference, seminar, and working group participation 
  • Train incoming personnel and ensure program continuity 

 

Qualifications and Skills: 

  • Minimum education: Associate degree in science such as communication, business management or administration, or related degree. 
  • Minimum experience: Four (4) years of related work experience in preparing and editing executive documents working with senior level DoD, other federal government agencies. 
  • Four (4) years’ experience using software applications to include MS-Office and SharePoint. 
  • Two (2)  years’ experience in coordinating video and audio conference calls and maintaining webpages and databases. 
  • Two (2) years’ experience briefing senior leaders and the ability to interface with all levels of personnel; experience writing technical documentation, operating instructions, policy memorandums, concept of operations, and other applicable organizational products.
