Job Summary:
We are seeking a highly motivated and effective Senior Administrative Support Specialist to serve as U.S. Trade and Development Agency (USTDA) Records Custodian and technical expert for federal records management. This position maintains USTDA's Central Agency Files, serves as primary liaison with the National Archives and Records Administration (NARA), and ensures agency compliance with federal records management requirements. The role requires deep expertise in records of lifecycle management from creation through disposition and disposal.
Responsibilities and Duties:
- Serve as primary point of contact for records management, receiving official documents and creating new files
- Scan, label, organize, circulate files, and ensure proper retention policies compliance
- Serve as USTDA's Records Custodian interfacing with NARA on disposition, transfer, and archiving requirements
- Implement and maintain methods for assessing file disposition status (active, suspended, retired, reactivated)
- Draft responses to required federal records management reports for Records Management Officer review
- Conduct annual review of Agency Records Schedule and recommend modifications for NARA compliance
- Lead establishment of records schedules for electronic records and email
- Inventory, organize, and schedule annual transfer of Agency records for storage or archiving
- Plan and conduct Agency-wide records file clean-up twice annually
- Provide records management training to all incoming Agency staff (federal and contract)
- Conduct onboarding records briefings and exit interviews for offboarding staff
- Support FOIA program including receiving requests, tracking, updating database, coordinating documents
- Provide on-site technical support for audiovisual equipment troubleshooting
- Support Office of Administration with travel, facilities, and administrative management programs
Qualifications and Skills:
- Minimum education: Bachelor’s degree required in business or information management and/or related certifications
- Minimum experience: 10 years total related work experience; 5 years of records management experience required
- Experience creating and implementing records management policies, procedures, and retention schedules
- Experience with Freedom of Information Act information management
- Physical ability to move large numbers of files and/or file boxes
