Job Summary:
The Digital Document Specialist is responsible for creating, formatting, converting, organizing, and maintaining digital documents, records, and files to support WMATA’s administrative, operational, and compliance functions. This role manages the digital lifecycle of records by ensuring accuracy, accessibility, proper formatting, and alignment with organizational documentation standards. The Specialist assists with workflow digitization, electronic document management, and quality control, helping maintain the integrity and usability of extensive digital archives. This position requires advanced document‑processing skills, attention to detail, and the ability to work efficiently with digital tools and document‑management systems.
Responsibilities and Duties:
- Develops executive level communication materials for the CEO, DGM- OPER, OPER Directors in committee presentations to Board members
- Coordinate and create elements may include but is not limited to: text, graphics, digitizing, conversion, platform, media, and replicating requirements
- Produces electronic publications with adherence to corporate and industry standards in design, editorial style, software applicability, media formats, and postscript compatibility
- Produces intranet web pages, display banners, and navigation aids, and adapts written material for print and electronic distribution
- Provides proofs in virtual and mechanical postscript formats.
Qualifications and Skills:
- Minimum Education: Bachelor's degree in Computer Science or Information Systems Management
- Minimum Experience: Five (5) years of commercial experience in cross-platform publication, typesetting, design and payout, vector illustrations, raster imaging and manipulation or in designing and producing web publications and pages
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), PDF editors, and document‑management systems.
- Strong understanding of formatting standards, accessibility requirements, and digital document workflows.
- Excellent attention to detail and quality‑control skills.
Ability to manage large digital archives, organize files, and maintain version control.
- Strong communication and customer‑support abilities.
- Knowledge of metadata standards, OCR tools, or digital‑conversion software preferred.
