Sr. Site Administrator
Kyowa Kirin is a fast-growing global specialty pharmaceutical company that applies state-of-the-art biotechnologies to discover and deliver novel medicines in four disease areas: bone and mineral; intractable hematologic; hematology oncology; and rare disease. The Sr. Site Administrator serves as a trusted partner to the Site Leader and Leadership Team, ensuring seamless day-to-day operations, coordination of key priorities, and effective communication across the site. This role requires strong organizational skills, attention to detail, and the ability to anticipate needs, prioritize time sensitive activities, and follow through with professionalism.
Responsibilities include managing multiple schedules, communications, site events, and cross-functional coordination; confidential treatment of internal/external information; supporting budget and vendor processes; and fostering a positive, efficient workplace for employees and guests.
This role reports to the Site Leader and VP of Operations
• Provide general administrative support to the Site Leader, VP of Operations, Site Leadership Team, and other team members as needed.
• Proactive collaboration skills with internal stakeholders.
• Maintain multiple calendars, monitor key deadlines, anticipate scheduling conflicts, and identify urgent tasks and route or manage them appropriately.
• Draft, proofread, and format documents and presentations with strong business writing skills and maintain integrity of electronic document structure for the department and comply with all company policies and procedures.
• Plan and coordinate on-site and off-site meetings, including scheduling, venue selection, contracts, materials preparation, audio/visual setup, and catering needs.
• Support onboarding activities, including site tours, workspace setup, and coordination of trainings for new hires.
• Work closely with site communications and operations teams to ensure smooth guest and visitor experiences and arrange and manage domestic and international travel, including itineraries, accommodations, and transportation.
• Monitor and process travel or other expense reimbursements in a timely manner and track project timelines to ensure on-time completion, anticipating, and mitigating issues.
• Suggest and implement process improvements when applicable and coordinate activities across multiple sites, including the Sanford office and Helix Innovation Park construction site.
• Ensure office and site are organized, stocked, and properly maintained and manage payments and invoices from outside vendors.
This role is an Individual contributor
• High school degree required with direct industry experience preferred.
• Minimum 5 years in project management, senior administrative, or business operations supporting executive leadership.
• Proven ability to manage competing priorities, deliver high-quality results, and work directly with senior leaders.
• Experience in dynamic, complex environments; biotech, pharma, or startup experience preferred.
• Demonstrated cultural awareness and ability to work effectively across global teams and strong judgment and discretion with sensitive or confidential matters.
• Advanced Microsoft Office Suite; experience with DocuSign, vendor management, and office systems preferred.
• Strong written and verbal communication; capable of preparing executive-level materials and excellent organizational, multitasking, and problem-solving skills; demonstrated proactive and detail-oriented skills.
• Experience managing multiple projects, office operations, vendor coordination, and event planning; along with the ability to independently handle deadlines, complex scheduling, and cross-functional coordination.
• Initially working on a construction site and ultimately in a biotech manufacturing site in Sanford, NC.
Work is 100% on-site. This is not a hybrid or remote role.
This full-time, onsite position is based in Sanford, North Carolina, with regular hours from Monday to Friday, 8:00 a.m.–4:30 p.m. Work will alternate between the downtown office and the Helix Innovation Park site as needed.
Requires up to 10% domestic and international travel as needed
The anticipated salary for this position will be $62,400 to $93,600. The actual salary offered for this role at commencement of employment may vary based on several factors including but not limited to relevant experience, skill set, qualifications, education (including applicable licenses and certifications, job-based knowledge, location, and other business and organizational needs.
