LA28 is the independent, non-profit, privately funded organizing committee for the Los Angeles 2028 Olympic and Paralympic Games. The 2028 Games mark the return of the Summer Games to the U.S. for the first time in 32 years and Los Angeles’ third time hosting an Olympic Games and first time welcoming the Paralympic Games. Office Coordinator 

The Office Coordinatorplaysa vital role in ensuring the smooth day-to-day operations of the LA28 office. This role involves managing administrative functions, supporting logistical needs including receipt, distribution and storage of office supplies, packages, kitchen supplies, andmaintaining common spaces including pantries to foster a productive and welcoming work environment. 

The Office Coordinator will be friendly, customer service-oriented, and professional in attitude and appearance. They will bring excellent organizational skills, attention to detail, and solid written and verbal communication abilities, combined with a collaborative spirit to support the success of the team and office operations. 

This role will report to the Sr Manager, Facilities & Office Operations 

Key Responsibilities:

  • Mail and Shipping: Coordinate and assist with collection, distribution, and shipping; manage postage purchases and process shipping invoices.
  • Visitor Services: Greet and direct visitors; oversee visitor check-in and check-out for a welcoming and secure environment.
  • Office Purchasing: Manage procurement of supplies and snacks, including restocking of shelves; track inventory and reconcile expense reports for executives.
  • Meeting Support: Schedule and organize conference rooms; handle food and beverage orders and meeting setup/breakdown.
  • Pantry and Kitchen Management:Maintainpantry organization; clean coffee machines, fridge, vending machine and microwave, and place dirty dishes in dishwasher and put them away when they are done.
  • Copy Room / Supply Room Management: Maintain copy rooms stocked and organized including copy paper and all basic office supplies.   
  • Common Space Maintenance: Ensure cleanliness and functionality of shared areas, including kitchens, copier rooms, and conference spaces.
  • Parking Coordination: Manage and distribute parking validations.
  • Security and Processes: Support office security and operational processes.
  • Event and Special Project Support: Assist with in-office events as an extension of the Events team and supportPEMspecial projects as needed. 

Background & Requirements:

  • 1-2 years of experience in office administration or a similar role.
  • Proficiency in Microsoft Office Suite.
  • High school diploma or equivalent work experience

Physical Requirements and Working Conditions:

  • Available to work onsite in our Downtown Los Angeles-based office.
  • The LA28 office is an open floorplan working environment; employees must be able to work efficiently in an open cubicle environment.  
  • Ability to stoop, bend, twist, lift and carry objects weighing up to 50 lbs (e.g., office supplies, boxes, equipment, event materials)
  • Ability to sit and stand for extended periods while working at a desk or computer. 
  • Ability to move from one floor to another to tend to kitchen responsibilities, distribution of supplies, coordination of food delivery and meeting set-ups
  • Hours of work may vary, including evenings, weekends, and holidays, especially during peak event periods. 
  • Perform other duties as required; the role will evolve over time and may include operational responsibilities during the Olympic and Paralympic Games.  

 

The hourly rate for this position is $27.40 - $33.65. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
