Senior Associate, Village Planning and Coordination

Role Purpose 

The Olympic and Paralympic Villages are where thousands of Olympic and Paralympic competitors and other stakeholders will live, train, and prepare, and the operational planning behind them is being created now. As Senior Associate, Village Planning & Coordination, you will establish and maintain the planning systems, documentation, and coordination rhythms that keep this work moving across many functional areas. You will translate complex planning inputs into clear, current, shared information that leaders and partners can act on. It suits someone who brings order to ambiguity and takes pride in coordination that runs well. 

Key Responsibilities 

  • Administer and maintain the Village Planning & Coordination SharePoint environment, including document management, site organization, and user permissions. 
  • Develop and publish SharePoint news posts, updates, and communications that support information sharing and team engagement. 
  • Coordinate Village Operational Planning (VOP) cycles, including schedules, stakeholder inputs, reviews, approvals, and version control. 
  • Compile, maintain, and distribute VOPs and supporting operational planning documentation across various functional areas. 
  • Track planning deliverables, milestones, risks, dependencies, and action items using Smartsheet, SharePoint, and Microsoft tools. 
  • Support planning and integration for Satellite Villages, tracking requirements, deliverables, timelines, and stakeholder actions. 
  • Develop presentations, reports, and dashboards, translating planning progress into executive-level summaries for leadership. 

Required Competencies 

  • 3–5 years of experience in project coordination, operational planning, event operations, program management, or a related field. 
  • Strong project management and organizational skills, with the ability to manage multiple priorities and deadlines. 
  • Advanced proficiency in the Microsoft Office Suite, including PowerPoint, Excel, Microsoft Teams, and SharePoint. 
  • Experience with Smartsheet or a similar project management and tracking platform. 
  • Strong written, verbal, and presentation development skills. 

Valued Experience 

  • Bachelor's degree preferred. 
  • Prior coordination experience on major events or complex, multi-site operations. 
  • Exposure to Olympic and Paralympic operations or another large-scale organizing environment.

Physical Requirements & Working Conditions 

  • Available to work onsite in our Downtown Los Angeles-based office. 
  • The majority of work will be conducted in an office setting, requiring extended periods of time using computers, phones, and other office equipment. 
  • The LA28 office is an open floorplan working environment; employees must be able to work efficiently in an open cubicle environment. 
  • Hours of work may vary, including evenings, weekends, and holidays, especially during peak event periods. 
  • Perform other duties as required; the role will evolve over time and may include operational responsibilities during the Olympic and Paralympic Games. 
  • Follows a hybrid schedule of about four days per week in the office, with frequent visits to Village sites; must be able to navigate large residential and operational zones, including during Games-time conditions. 

Compensation 

The annual base salary range for this position is $73,000 - $98,000. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28's operational business needs and applicable law.
