Facilities Coordinator I - Contractor

Meet the team:

The Real Estate and Workplace Services Team (REWS), is an integral cross-function support team comprised of Facilities, Security, Logistics, and Real Estate groups. The REWS team is responsible for internal and external site coordination across all Latitude locations, as well as support for employees and external guests. The Facilities Coordinator contract role will support operations in the Palo Alto office, actively managing facility and logistics responsibilities and requests in a timely fashion.

What you’ll do: 

  • Support all REWS functions in Palo Alto; working onsite daily to provide direct support, conduct facility walkthroughs, schedule repairs and maintenance needs, move activities, and respond to all requests in a timely fashion. More specifically: 
    • Support catering and snack program, including coordinating orders for on-site meals 
    • Supports the office supplies and consumables program, including taking inventory, ordering supplies, replenishing and managing conference spaces 
    • Completes / documents regularly scheduled facility maintenance walk-throughs, ensuring upkeep of space and cleanliness of kitchen and common areas
    • Supports and participates in safety planning/executing evacuation drills and provides required training as needed
    • Supports special events on-site, assisting with setup/teardown and additional components as requested
    • Provides support to keep up to date headcount documentation and projections, supporting space planning initiatives, desk moves and additions
    • Maintain and execute JIRA tickets based on Facilities provided guidelines and SLAs, ensuring that they are completed and closed in a timely fashion with excellent customer service and communication
  • Support local Logistics including:
    • Physically receive and distribute incoming equipment and supplies addressed to Latitude; in coordination with facility Logistics Lead
    • Maintain accurate record keeping of products shipped and received 
    • Systematically receive purchase orders in our accounting system and assist with other NetSuite receipts
    • Manage and execute incoming tickets requests 
    • Physically pick, pack, and ship equipment to internal and external parties (small pack and freight)
    • Package highly sensitive hardware equipment with the utmost care and attention
    • Track outbound shipments through delivery; troubleshoot and escalate issues are they arise
    • Provide positive and expeditious experience to all customers, both internal and external
    • Partner with Logistics to assist with onsite projects
    • Coordinate with the Logistics team to maintain accurate systemic records of all IT equipment, select hardware, and supplies; inclusive of inventory counts, asset system tracking, and internal / external audits
    • Manage onboarding equipment preparation, distribution, and inventory maintenance
    • Maintain and execute JIRA tickets based on Logistics provided guidelines and SLAs
    • Support new and ongoing training efforts of team members who interact with Logistics activities 
  • Provide additional IT/Desktop Support including:
    • In support of existing team members, providing basic IT help-desk support and troubleshooting
    • Issues and tracks IT hardware assets including computers, monitors, phones, peripherals, etc
    • Entering tickets into Jira
    • Ability to troubleshoot and operate Zoom meetings
    • Support the IT team with basic IT related tasks, ie, setting up monitors, power supplies and desktops at workstations
  • Perform light physical security duties as needed
  • Provide additional coverage as needed for reception functions, including answering office phone, welcoming visitors, supporting the interview candidate experience

What you'll need to succeed:

  • Bachelor's degree in Engineering, Building Science, or related degree required. In lieu of a Bachelor's degree, an Associate's degree with two years of employment experience or a High School Diploma or GED equivalent with four years of employment experience is required
  • One to two years of building facilities experience 
  • Exceptional, demonstrated customer service skills required
  • Willingness to be available after hours and in emergency situations
  • Computer proficiency with Microsoft Office and Google Suite(preferred)
  • Valid driver’s license and clean driving record 
  • Ability to lift up to 50lbs required

The expected base salary range for this full-time position in California is $32.50 - $48.76/hour USD. Actual starting pay will be based on job-related factors, including exact work location, experience, relevant training and education, and skill level. Latitude employees are also eligible to participate in Latitude’s annual bonus programs, equity compensation, and generous Company benefits program, subject to eligibility requirements.
