Meet the team:

We are looking for an Executive Assistant to provide administrative and project support to the VP, Enterprise Operations at the Latitude AI headquarter office. The ideal candidate will have a strategic mindset, ability to manage competing priorities in a dynamic environment, and be able to communicate effectively with executives and other stakeholders.

What you’ll do: 

  • Act as a strategic partner to our executives and use best judgment to handle multiple calendar requests as well as other competing priorities
  • Manage a busy and ever-changing calendar
  • Work cross-functionally with both internal and external teams to plan, coordinate and run meetings and large in-person events with short notice
  • Communicate effectively with executives to brief them on meetings
  • Conduct research, manage ad-hoc and time sensitive projects, and navigate ambiguity using problem solving skills to drive projects to completion
  • Assist with the preparation and proofreading of meeting documents, presentations, and executive correspondence
  • Anticipate operational and administrative issues and understand when to escalate issues to keep executives informed
  • Coordinate domestic and international travel, reservations and expense reports 
  • Serve as key point of contact for external stakeholders, managing relationships and communications
  • Organize and track long-term projects, ensuring alignment with quarterly and annual objectives through timely follow ups and successful completion
  • Provide coverage and support for other members of the Executive Assistant Team as needed
  • Assist leadership with culture initiatives and team building and become an accurate barometer for team morale

What you'll need to succeed:

  • Bachelor of Arts/Bachelor of Science degree
  • 2+ years of experience in an administrative or event coordinator role
  • Experience supporting VP or Executive level individuals 
  • Excellent verbal and written communication skills
  • Excellent calendar management  / meeting prioritization skills
  • Experience interfacing with operation and engineering teams
  • Experience utilizing Navan / Trip Actions or similar platforms
  • Ability to work independently
  • Strong attention to detail
  • Strong interpersonal skills
  • Ability to complete ambiguous and complex tasks quickly with little guidance 
  • Skilled in G-Suite, Microsoft Outlook, Slack, and other collaborative tools
