Role Overview

This is a highly detail-intensive, compliance-driven, and cross-functional role where your impact is felt in every student plan, every audit, and every outcome.

You will coordinate across teachers, families, and service providers to gather, interpret, and synthesize data into high-quality, state-compliant IEPs. Your success depends on precision, follow-through, and the ability to manage complexity with care.

It demands extreme ownership, lightning responsiveness, and joyful persistence because when you do this work well, students receive the right services, teachers are set up to execute effectively, and families feel confident their child is supported.

Core Responsibilities

• Build accurate, individualized, and compliant IEPs that reflect each student’s unique needs, progress, and goals.
• Transform complex student data into clear, actionable plans that guide instruction and services.
• Maintain meticulous records and documentation to ensure nothing is missed and all compliance standards are upheld.
• Proactively coordinate with teachers, service providers, and families to gather complete and accurate information.
• Identify gaps, inconsistencies, or risks early and take action to resolve them before they impact students.
• Uphold a consistent standard of excellence across all documentation, audits, and reporting.

Essential Duties

1. Serve students, families, and colleagues with genuine professionalism, integrity, humility, and a white-glove mindset that makes every interaction feel personal and uplifting.
2. Personally own the drafting and maintenance of comprehensive, personalized, student-centered, and high-quality IEPs that meet all compliance standards.
3. Process student files with care and urgency, keeping meticulously detailed, organized records to ensure nothing falls through the cracks.
4. Foster genuine relationships with general education teachers, special education teachers, service providers, students, parents, and leaders, through consistent, reliable, multi-channel communication that results in universal understanding of a student’s IEP which accurately reflects performance, accommodations, and goals.
5. Partner with related service providers to ensure evaluations and services are timely, properly documented, and aligned.
6. Conduct audits, quality reviews, and summary reporting to maintain high standards across all documentation.
7. Monitor systems and workflows to ensure timely communication, compliance, and service delivery.
8. Engage fully in professional development, meetings, and training as both a participant and a subject matter expert, to continuously elevate your impact and the impact of other staff members on the success of special education students through vehicles like IEP documentation, accommodations, and implementation practices.
9. Provide ongoing feedback and guidance to strengthen quality and consistency across the team.
10. Embrace additional responsibilities as needed to advance our mission.

Work Schedule & Expectations

1. Fixed schedule: 8:30 a.m.–5:30 p.m. Mountain Time (Denver/America), year-round, auto-adjusting for daylight saving time.
2. Full-time exempt role requiring at least 40 hours per week with uninterrupted focus during scheduled hours.
3. Remain actively available and immediately responsive all workday via phone, chat, Zoom, email, and internal systems; colleagues must reach you in real time.
4. No concurrent employment or performance of this role alongside another job.
5. Maintain a private, professional, distraction-free remote workspace with reliable high-speed internet for video and required tools.
6. Consistent daily availability; absences exceeding two consecutive instructional days materially disrupt student support, engagement, and progress monitoring and generally cannot be accommodated during the instructional term.

Knowledge, Skills, and Abilities

1. Strong interpersonal skills to communicate clearly, empathetically, and professionally.
2. Deep understanding of IEP development and Special Education compliance requirements, including present levels, goals, accommodations, services, and timelines across state and federal regulations.
3. Ability to accurately synthesize information from multiple sources (teachers, evaluations, service providers, families) into clear, individualized, and compliant student plans.
4. Exceptional attention to detail, with the ability to consistently produce precise, high-quality documentation where nothing falls through the cracks.
5. Strong organizational skills, with the ability to manage multiple students, deadlines, and compliance requirements simultaneously.
6. Ability to identify inconsistencies, gaps, or risks in documentation and proactively resolve them before they impact student services or compliance.
7. Clear and professional communication skills, including the ability to explain complex information in a way that is accessible and supportive to families and colleagues.
8. Demonstrated ability to operate with urgency, ownership, and follow-through in a fast-paced, high-accountability environment.
9. Self-motivated, coachable, and committed to continuous improvement, consistently refining work to meet a high standard of excellence.

Qualifications

• Bachelor’s or Master’s degree in Special Education (required)
• Ability to obtain Special Education licenses in Arizona, Colorado, Washington, and other states as may be assigned (required)
• 3+ years of special education experience
• 2+  years of experience documenting IEPs
• Proficiency in various software programs related to IEP documentation similar but not limited to eIEPPro or Enrich
• Strong experience with Mac OS, Google Workspace, and Asana
• Ability to pass required background checks
