Entry-Level Administrative & Business Operations Associate
Location: Alexandria, VA (In-Person, Full-Time)

We’re looking for a smart, organized, and driven individual to support our HR, Business Development, and Project Operations teams. This is a hands-on, entry-level role that offers direct exposure to the federal contracting process, compliance, HR, and Agile methodologies. You’ll work closely with company leadership and gain cross-functional experience that will help launch your career.
🛠️ Core Responsibilities
Administrative & HR Support
- Manage incoming mail: scan, log, and route per compliance protocols.
- Track state HR compliance tasks using email and internal trackers.
- Monitor shared HR inboxes and help respond or escalate appropriately.
- Coordinate timesheets, travel bookings, and expense tracking with staff.
- Schedule meetings, route documents for signature, and follow up on action items.
- Organize digital files and maintain shared drives.
- Support calendar management for executives and teams.
- Ensure timesheets are submitted accurately and on time.
- Assist with other administrative needs as assigned.
Business Development & Contracts
- Enter and update data in our business development (BD) pipeline.
- Monitor federal contracting platforms (e.g., eBuy, GovWin) for new opportunities.
- Help draft RFQ checklists, RFI responses, and short opportunity briefs.
- Schedule and support internal BD and partner meetings.
- Track and manage NDAs and Teaming Agreements (TAs), including routing and filing.
- Assist with identifying opportunities aligned with our small business designations (e.g., WOSB, 8(a)).
Agile & Project Support
- Attend Agile sprint planning and team meetings.
- Draft and update user stories in Jira with guidance from project leads.
- Track task completion and keep project boards organized.
- Help prepare sprint review slides and project documentation.
- Collect internal feedback on tools and help evaluate alternatives.
🎯 What We’re Looking For
Basic Qualifications
- Bachelor’s degree (any major).
- 0–2 years of professional work experience (internships welcome).
- Detail-oriented with strong organizational and multitasking skills.
- Clear written and verbal communication.
- Self-motivated and comfortable with light technical tasks.
Nice-to-Haves (We’ll Train You)
- Exposure to Agile or Scrum environments.
- Familiarity with Google Workspace (Docs, Sheets, Calendar).
- Experience with Jira, Confluence, or GovWin is a plus.
