Description: 

As the Operations Administration Specialist at LightForce Orthodontics, you will be an active member of a fast-growing start-up at the forefront of digital and physical manufacturing and software engineering team. The position is based in Costa Rica with priority focus on local projects and needs, while having ability to collaborate with tasks and duties abroad. You will be responsible for supporting multi-disciplinary teams working on projects with multiple work streams from initiation to closure to achieve the project objectives; exercising people operations tasks, developing and implementing improved processes for the Costa Rica Operation. 

Expectations of the role

  • This “Operations Administration Specialist” role will have plenty of WFH opportunity at times since we’re a remote first company, yet it’s important to know that this role is expected to be as present at our office in Escazu as our operational strategies and your own inputs and inititatives could require to be.
  • The “Operations Administration Specialist” will have an important partnership with our Country General Manager and other business managers or supervisors. We incline towards a servant leadership mindset and it is important that this person feels a part of our team, enjoys our welcoming and inclusive culture, feels comfortable working with punctual directions yet able to have initiative and point us to creative and efficient ideas of your own. That will be a key component to striving for success in our team dynamics at all management and employee levels.
  • Should be comfortable and willing to do lightweight physical activity that is part of the nature of this role such as walking around the office, move to a different floor or conference rooms (elevator or stairs), receving a vendor, re accomodate office layout for different projects or activities, move lightweight objects such as cables, chairs, monitors, keyboards, or similar. For any heavy duty tasks we can always get more hands or hire contractors if needed, you would be the one to guide us accordingly.


Duties and Responsibilities:

  • Manage confidential information with discretion and sensitivity
  • Partner with Country General Manager to serve our Costa Rican employees, support the team with action items and deliverables that connect with our company engagement, non-material motivation, leadership coaching and development
  • Help secure approvals from budget stakeholders to support operation
  • Support the team with equipment logistics and inventory
  • Support onboarding experience by partnering with IT, HR & OPS
  • Help collect and integrate cross-functional deliverables to support business decisions
  • Effectively engage with key stakeholders (internal and external) to ensure timely achievement of project deliverables
  • Frequent follow up and ownership of a diverse set of administrative tasks and initiatives
  • Support a culture of operational excellence
  • Exercise judgment in determining, designing solutions and tools needed in order to achieve administrative tasks.

Education and Experience: 

  • Strong English level and comprehension (B2+/C1 - English will be spoken about 90% of the time)
  • Bachelor's Degree in Business Administration or equivalent experience
  • Minimum of 2 years in people management/project management
  • Related professional-level career experience in Operations / Manufacturing could be a plus
  • Lean/Six Sigma Certification could be a plus
  • Project Management Professional (PMP) certification could be a plus
  • Experience in digital dentistry or 3D printing is a plus

Required Qualifications

  • Feeling comfortable with hybrid work model. Being as remote or as in-office as required.
  • Should be comfortable and apt to do lightweight physical activity as mentioned above in the expectations.
  • Demonstrated service towards matrix teams, outcomes and key project decisions
  • Ability to build consensus and drive resolution of issues while maintaining positive working relationships across functions
  • Good technical skills, ability to troubleshoot a problem and to apply logic to fix it in the best way possible
  • Excellent communication skills
  • Good negotiation and strong persuasive abilities
  • Self-Management skills – ability to handle a variety of diverse tasks simultaneously while achieving deadlines.
  • Critical understanding of the importance of documentation and data traceability
  • Able to work well with senior management and team
  • Highest Reasoning Skills: Ability to apply principles of logical thinking to a wide range of intellectual and practical problems. Ability to define problems, collect data, establish facts, and draw valid conclusions

  • Requires the ability to use hands, and reach with hands and arms
  • Requires the ability to see, listen, and speak

Work Environment

  • Work is generally performed in an open office, sedentary position.
