We’re looking for a Collections Systems Coordinator to join our Finance team. This role's core function is to ensure continuous improvement and stability within the department. This is achieved by serving as a specialist who rapidly takes ownership of all new tasks, conducting a thorough workflow analysis to optimize processes and reduce manual effort, and then handing over the streamlined task to the designated team member. You will also provide critical operational support by assisting with the departmental review of team members' work, performing various complex account reconciliation, and supporting the successful integration and optimization of new systems acquired. You will continuously collaborate with cross-functional departments and assist the project lead in organizing overall workflows and strategies.
What you’ll be doing:
- Take full ownership of new tasks arriving in the department, including rapidly learning, and performing regular workflow.
- Lead efforts to optimize and reduce manual workflow, focusing on the automation of current processes and proposing new solutions to enhance efficiency.
- Seamlessly hand over the streamlined and optimized task to the designated long-term team member, ensuring a complete and well-documented transition.
- Execute important, time-sensitive, and finance-critical tasks necessary for End-of-Month (EOM) and other monthly closing procedures.
- Process and manage weekly incoming cheques
- Generate and analyze critical operational and financial reports to support data-driven decision-making and measure process efficiency.
- Perform complex contract adjustments and execute related clean-up duties, including account reconciliation and analysis.
- Remain actively involved with day-to-day tasks to maintain a deep understanding of current operational needs and challenges.
- Assist the department in reviewing the work of team members to ensure quality, adherence to new procedures, and consistency.
And a little bit of....
- Participate and assist in essential User Acceptance Testing (UAT) for new system functionalities or process changes that impact the department.
- Contributing as part of the wider team to achieve organisational objectives even if this means doing things that aren’t strictly within the scope of your role.
What you need to bring:
We're looking for a candidate who has experience with the following:
- Previous experience working in finance with time sensitive deadlines
- Data Management Proficiency:Advanced proficiency in data manipulation and analysis, with practical experience using tools like Microsoft Excel or Google Sheets (e.g., pivot tables, VLOOKUPs, data modeling).
- Strong analytical abilities and attention to detail
- Excellent communication and interpersonal skills in English. As a global company with employees and clients outside of Quebec, fluency in English as a working language is required for this position.
- Ability to work well in a team environment and manage multiple tasks effectively
