The role: Programs & Coordination

We’re looking for someone who thrives on creating order, discretion, and forward momentum behind the scenes for this Programs & Coordination role. This person will wear multiple hats: business operations for our growing hub in Boston, executive support to our leadership team and workplace orchestrator.

What you’ll be doing

Business Operations Support

  • Support cross-functional workflows e.g. vendor onboarding, internal approvals, and operational problem-solving.
  • Administrate internal tech tools (e.g., Google Workspace, Notion, WhatsApp, Slack) and maintain user access and permissions.
  • Identify and implement improvements to make studio operations more effective and scalable.

Executive Support & Administration

  • Manage complex calendars for the leadership team - prioritize high-value meetings, resolve conflicts, and ensure executives are fully briefed.
  • Schedule and coordinate key studio-wide events and cross-functional team meetings; ensure agendas, logistics, and action items are handled.
  • Maintain organized workflows, document management systems, and ensure timely access to important information.
  • Arrange travel and accommodations including managing expense submissions and reimbursements.

Workplace & Culture Support

  • Assist with planning and executing internal team events, offsites, and casual celebrations.
  • Support team engagement initiatives that promote connectivity and belonging across distributed teams.
