Tenant Services Coordinator

SUMMARY

Assists and supports the daily activities to coordinate tenant service requests and the dispatching of Engineers by performing the following duties:

  • Receives and dispatches work orders for Engineering staff; Follows- up work orders to ensure completion and measure customer satisfaction (estimated 100 Practices contacted/month);
  • Monitors work order dispatch and zoning – assigns lease oversite requests;
  • Transfers requests from tenant between segments and departments;
  • Follows up on survey responses from CMS System to track unfavorable responses; Maintains and updates database of assets, preventive maintenance (PM) schedules and work order zoning assignments in CMS
  • Reviews self-generated work orders for correct category;
  • Pulls eLSCB reports and files them on the Atrium share drive;
  • Requests all new badge IDs and access requests for vendors and engineering team through OSR process;
  • Inputs vacation and PTO requests on Master Calendar;
  • Researches vendor invoices for corresponding requests as needed;
  • Pulls data for monthly dashboard reports and ensures correctness and accuracy of raw data;
    • Monthly count of work orders – breakdown by category, completion rates and assignment
    • Total survey results from CMS – based responses
    • Labor total entered into CMS by engineers
    • Update of monthly engineering dashboard and individual engineer results                                                                          

QUALIFICATIONS

EDUCATION AND EXPEREINCE

  • Minimum of two years experience in an administrative position
  • Previous experience in real estate field or property management helpful

SKILLS AND ABILITIES

  • Computer literate with working knowledge of Microsoft Office (work processing, spreadsheets, e-mail, work order database)
  • Ability to type at least 40 wpm
  • Strong written and verbal communication skills
  • Excellent multi-tasking skills
  • Ability to work will with limited supervision in a fast paced environment
  • Possess high degree of professionalism
  • Attention to detail
  • Excellent organizational skills
  • Self-motivated individual who is able to meet deadlines and schedules
  • Sense of urgency
  • Ability to delegate to vendors and maintenance technicians

This position is 100% in-office. The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
