Director, Property Management

Our Director, Property Management position is a leadership position supervising a team or teams delivering management services to a number of clients. This role may in some instances be directly tied to a client account or portfolio and responsible for the day-to-day management of the real estate. This key leadership role may also include responsibilities for the leadership of PM services in a geography/region/market.

  • Bachelor's degree (BA/BS) and a minimum of 10-15 years of related experience and/or training.
  • Real Estate Salesperson License required. Professional designation such as RPA, CPM, CCIM preferred.
  • Intermediate to advanced skills with Microsoft Office Suite Knowledge of Yardi or MRI and Kardin is also preferred.
  • Excellent written and verbal communication skills. Ability to clearly and effectively convey complex topics with a positive tone to achieve operational and relationship objectives. Strong interpersonal and analytical skills. Ability to lead the exchange of sensitive, complicated, and difficult information, convey performance expectations and handle problems.
  • Requires expert knowledge of financial terms and principles. Ability to forecast outcomes, prepare budgets w/ long-term capital plans, and deliver insightful variance reports. Prepares and makes recommendations on financial/business analysis including cost/benefit propositions, ROI analysis and other complex reports
  • Demonstrated organizational skills in fast paced and demanding environment. Proven ability to prioritize and deliver results on challenging timelines.
  • Ability to comprehend, analyze, and interpret complex documents. Ability to solve problems involving several options in situations. Requires advanced analytical and quantitative skills.
  • Working knowledge of leases, contracts, financial instruments, tax laws, and construction.
  • Leadership experience and skills to empower the team to achieve a broad range of client and company objectives.

Responsibilities:

  • Ensures teams respond to client and tenant issues promptly and follow through to successful resolution. Ensures that services are provided in compliance with policies, procedures, regulations and contractual obligations and standards.
  • Oversee, Direct, review and approve (as required) payment of vendor invoices following the terms of the management agreement, LPC policies and property management approval authorization limits.
  • Direct and control preparation and delivery of timely, accurate and insightful monthly reports according to client (and/or company) requirements.
  • Develop, direct and control annual budgets for operating and capital expenses consistent with client and company requirements.
  • Oversee timely completion of reconciliation calculations and billings to ensure compliance with company and client timelines.
  • Maintain oversight of contracted terms that impact the financial performance of the asset/company. Report as required on expirations, covenants, restrictions and other encumbrances that drive decision making and asset value.
  • Ensure teams assigned to tenant onboarding activities properly document and communicate with tenants timely and appropriately. Follow up as needed with tenants to ensure a successful transition.
  • Coordinate team response to tenant needs, ensuring that administrative and building technical staff resolve problems promptly. Ensure thoughtful tenant care plans have been created and continuously delivered at assets under supervision. Periodically check in with tenants to ensure satisfaction and likelihood of tenant retention. Serve as point of escalation for tenant concerns/issues.
  • Direct sourcing and procurement activities to effect optimal operations at assigned properties. Deliver detailed bid analysis and recommendations to clients that drive value. Manage quality of vendor services delivery to ensure contract compliance and desired value.
  • Oversees collection of rent and other charges in accordance with lease terms. Proactively reports status of AR to Sr. Director and Managing Director if anything is impactful to client with recommendations for action as appropriate.
  • Ensure teams are following SOP guidance on property inspections and maintenance.
  • Ensures emergency response plans are in place for all properties under supervision. Oversees and participates in training and drills as appropriate.
  • Coordinate and lead the daily and long-term activities of the team. Establish work schedules, assign tasks, and cross-train staff. Establish and track staff and department deadlines to meet client and company objectives. Mentor and coach as needed.
  • Elevate and maintain high level performance through subject matter expertise and initiatives to improve systems, processes and procedures. Champion business cases for improvement as appropriate.
  • Key client relationship agent with regular client contact to ensure asset/fund/company objectives are actively addressed by assigned teams.
  • Supervise individual employees within single functional or operational area. Approve recommendations for staffing, recruitment, promotion, advancement, corrective action and termination. Conduct performance evaluations and coaching.
