Budget & Operations Specialist II

Summary:
: We are looking for a highly organized and detail-oriented professional to join our External Affairs team as a contingent worker. This role will focus on managing the team’s budget, streamlining operational processes, onboarding vendors, and fostering effective communication with both internal and external stakeholders. The ideal candidate will ensure compliance with the organization’s financial policies while driving transparency and efficiency in all areas of responsibility.
Qualifications:
- 2+ years of experience in budget or program management, or a related field.
- Exceptional organizational and communication skills.
- Ability to work both independently and collaboratively in a team environment.
- Strong attention to detail and analytical capabilities.
- Proficiency in productivity and financial management tools.
- Experience working cross-functionally with teams such as finance, legal, and compliance.
Key Responsibilities:
- Budget Management: Monitor and manage the External Affairs team budget, overseeing day-to-day budget processes and ensuring accuracy and compliance with financial policies.
- Financial Forecasting: Collaborate with the finance team to forecast quarterly budgets, ensuring timely and precise financial planning.
- Vendor Onboarding: Facilitate vendor onboarding processes to ensure smooth integration and adherence to procurement guidelines.
- Subject Matter Expertise: Act as the team’s expert on budget, onboarding, and ad credit processes, providing support and ensuring optimal resource utilization.
- Stakeholder Collaboration: Meet monthly with External Affairs leads and collaborate with Policy administrators to provide budget updates, ensure alignment, and promote transparency.
- Compliance Deadlines: Communicate End-of-Year (EOY) deadlines to the team and guide the compliance process to completion.
- Cross-Functional Reviews: Manage end-to-end cross-functional review processes, including proposal intake, tracker updates, feedback organization, and securing necessary approvals.
- Stakeholder Communication: Liaise with outside counsel and work with internal legal and compliance teams to ensure organizations and vendors meet policy requirements.
Location: Onsite (Washington D.C.)
Role type: Contract 12 Month Position
Expected hours: 40 per week
