Role Summary

The Music Publishing Operations Specialist is responsible for supporting end‑to‑end publishing operations, ensuring the accuracy and completeness of rights holder information, and driving operational excellence across publishing workflows. This role is ideal for a proactive, detail‑oriented professional with experience in operations, data management, ownership research, and process optimization. The Specialist will contribute to automation initiatives, partner support, and data quality improvements within a fast‑paced, evolving music publishing environment.

Key Responsibilities

Operational Excellence & Innovation

  • Develop and implement scalable automation solutions and process improvements to enhance operational efficiency.
  • Identify opportunities for workflow optimization and contribute to building future‑ready operational systems.
  • Learn rapidly, iterate on solutions, and approach challenges with a continuous‑improvement mindset.

Ownership Research & Data Quality

  • Research and verify publishing ownership information using internal systems and third‑party tools.
  • Support the full lifecycle of music publishing operations, ensuring accuracy, timeliness, and compliance with partner requirements.
  • Assist with data ingestion, validation, and quality assurance across publishing data systems.
  • Monitor, analyze, and report on operational metrics to identify trends, risks, and improvement opportunities.

Cross‑Functional Collaboration

  • Work closely with internal teams and external partners to resolve data discrepancies and operational issues.
  • Serve as a first point of contact for inbound partner queries, triaging and routing requests with appropriate context.
  • Support monthly reporting cycles by conducting quality checks to ensure accuracy and consistency.

Documentation & Workflow Management

  • Maintain and improve documentation for processes, workflows, and standard operating procedures.
  • Coordinate and track operational projects from initiation through completion.
  • Develop project timelines, milestones, and deliverables.
  • Facilitate stakeholder meetings, gather requirements, and provide updates.
  • Track action items and ensure contributors meet deadlines.

Minimum Qualifications

  • 2+ years of experience in operations, data management, or a related field.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Proficiency with spreadsheet tools (Google Sheets, Excel) and comfort working with large datasets.
  • Excellent written and verbal communication skills.
  • Ability to work independently in a fast‑paced, ambiguous environment.

Preferred Qualifications

  • Experience in music publishing operations or a related industry.
  • Familiarity with publishing metadata, royalty data, ownership/share information, and related datasets.
  • Experience researching publishing ownership using third‑party tools.
  • Understanding of publishing data exchange formats (e.g., CWR, DDEX).
  • Experience with process automation tools or scripting (Python, SQL).
  • Knowledge of music rights management tools.

Team Overview

The Music Publishing Operations team supports scalable solutions for music partners across a broad ecosystem of digital products. The team combines operational expertise with industry knowledge to improve data accuracy, streamline workflows, and support the evolving needs of the global music publishing landscape. This role works closely with full‑time team members to manage high‑volume workflows, support data quality initiatives, and contribute to automation and process‑improvement efforts.

Performance Expectations

Performance will be evaluated based on:

  • Timeliness & Throughput: Meeting SLAs for partner triage, completing monthly report QC, and maintaining consistent workflow execution.
  • Process Adherence: Following established procedures, escalation paths, and documentation standards.
  • Automation Support: Contributing to AI‑driven process improvements and producing high‑quality workflow documentation.
  • Collaboration & Reliability: Responsiveness, communication quality, and positive feedback from team members.

Location: New York, NY (Onsite/Hybrid)

Role type: Contract 12 Month Position 

Expected hours: 40 per week
