We are looking for an experienced, proactive, and exceptionally organized Executive Assistant to provide comprehensive, high-level administrative support to our Chief Executive Officer (CEO) and the broader C-suite/Leadership team. The ideal candidate will be a master of multitasking, possess outstanding communication skills, exercise impeccable judgment, and thrive in a demanding tech environment. You will be instrumental in optimizing the effectiveness of our leadership team and contributing to the overall operational efficiency of Litmus.
Key Responsibilities:
- Executive Support: Provide direct, confidential administrative support to the CEO, including managing complex calendars, scheduling meetings, handling correspondence (proactive email management and drafting responses), expense reports, and preparing materials for meetings.
- Leadership Team Coordination: Extend support to other C-level executives and the leadership team as needed, facilitating communication and coordination across departments.
- Calendar & Travel Management: Expertly manage intricate calendars, anticipating needs and resolving conflicts. Coordinate complex domestic and international travel arrangements, including itineraries, logistics, and expense reporting.
- Meeting & Event Planning: Plan, organize, and execute executive meetings, leadership offsites, board meetings, and potentially assist with logistics for larger company-wide events and activities. Handle everything from venue selection and catering to agenda preparation and follow-up actions.
- Program Management: Apply program management principles to track executive priorities, manage small-scale projects, and ensure deadlines are met for key initiatives originating from the CEO & COO office.
- Reporting & Frameworks: Assist in the preparation, tracking, and reporting of Key Performance Indicators (KPIs) and Objectives and Key Results (OKRs) relevant to the executive team and company goals.
- Office Liaison: Serve as a point of contact for the executive office and assist with ensuring smooth operations within the executive area.
- Company Activities: Contribute to the organization and execution of various company-wide activities and initiatives, fostering a positive company culture.
- Proven experience as an Executive Assistant supporting C-level executives, preferably within the technology sector.
- Must be based in the San Francisco Bay Area. Strong preference for candidates able to work full-time from our office.
- Demonstrable experience in program management or managing complex projects.
- Solid understanding and practical experience with KPI reporting and OKR frameworks.
- Extensive experience managing complex calendars, coordinating international/domestic travel, and handling expense reports.
- Proven track record of successfully planning and executing meetings and events of various scales.
- Exceptional organizational, time-management, and problem-solving skills with meticulous attention to detail.
- Ability to multitask and prioritize effectively in a fast-paced, dynamic environment.
- High level of professionalism, discretion, and confidentiality.
- Outstanding written and verbal communication skills; ability to draft clear and professional correspondence.
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and/or Microsoft Office Suite.
- Experience and proficiency with AI productivity tools (e.g., for scheduling, note-taking, research, content generation, automation).
- Based locally and can work in the Santa Clara office up to three times a week
A reasonable estimate of on-target earnings (OTE) is $100,000 to $130,000. Additionally, regular employees may be eligible for bonus programs (target included in OTE), equity, and benefits. The range is subject to change. Litmus takes into account a wide range of factors when determining an individual’s pay. These factors can include (but are not limited to) skill set, training and experience, licensure and certifications, and location and metropolitan area.
