Commercial Operations & Compliance Coordinator

Position Overview
As the Commercial Operations & Compliance Coordinator, you will be the engine room of our business operations, ensuring that our commercial, financial, and digital foundations are seamless. You will act in a supporting role to ensure vendor financial accuracy and provide input into our brand’s digital presence and industry certifications. Your single most important outcome is to ensure Engage remains commercially organized, audit-ready (ISO), and professionally represented to our prospective and existing Tier-1 clients.
Team Context: Reporting to the Vice President, this role sits at the intersection of Finance, Sales, and Corporate Governance.
You Will: Key Responsibilities & Impact
Financial & Vendor Operations:
- Manage the end-to-end Purchase Order process and perform rigorous audits of vendor invoices to ensure 100% billing accuracy.
- Act as a commercial point of contact for vendor relationships, resolving discrepancies proactively to maintain strong supply-chain health.
- Support the finance function by ensuring all commercial documentation is filed and reconciled correctly.
Commercial Enablement & Presentation:
- Organize and maintain "Commercial Packs" and sales collateral, ensuring the team has immediate access to up-to-date pricing and contract templates.
- Develop brand consistent slides and document templates Be responsible for assisting in driving progress on non client facing initiatives within the business e.g. managing internal suppliers for website updates.
Compliance & ISO Management:
- Project manage the ISO accreditation process for Engage, working with the ISMS owner and ISO coordinator to manage documentation and internal audits to meet international standards.
- Maintain the central repository for all compliance-related certificates and business process manuals.
Administrative Strategy:
- Provide high-level administrative support to the leadership team, ensuring organizational efficiency during high-growth periods.
You Have: Required Skills & Qualifications
Professional Experience & Education:
- 3+ years of experience in a Business Operations, Commercial Coordination, or Senior Admin role, preferably within the Tech or Managed Services sector. Experience or exposure to contact centre technology, whilst not essential, is an advantage.
- Proven experience in managing financial administration (POs, Invoicing, and Vendor reconciliation).
- Prior experience or a strong understanding of ISO certification standards (e.g., ISO 9001 or 27001) is highly regarded.
Technical Expertise:
- Web & Design: Proficiency with CMS platforms (e.g., WordPress, Wix, or Webflow) and a sharp eye for design using PowerPoint or Canva.
- Systems: Experience with project management tools (e.g., Jira,Smartsheets , or Monday.com).
- Documentation: Advanced skills in the Microsoft Office Suite or Google Suite, specifically Excel for data reconciliation and PowerPoint for client-facing decks.

- Meticulous Attention to Detail: You catch the small errors in an invoice or a slide deck that others miss.
- The "Generalist" Mindset: You are equally comfortable auditing a spreadsheet as you are updating a website or writing a process manual.
- Self-Starter: The ability to take ownership of internal projects and remain organised with minimal day-to-day supervision.
Confident Communication: Confident in reaching out to internal teams and vendors at various levels of management.
