ABOUT THIS ROLE
The Licensing & Compliance Specialist will manage employee registrations and licensing applications, ensuring compliance with state and local requirements. Responsibilities include guiding employees through the registration and fingerprinting processes, tracking progress, and resolving issues related to background checks. The role involves maintaining systems for renewals and monitoring changes in employee status to ensure timely state notifications. Additionally, they will track alarm permit and business license paperwork, payments, and provide support for corporate documentation and local licensing events. This position ensures that all licensing procedures are completed accurately and on time, supporting overall regulatory compliance.
RESPONSIBILITIES
- Employee registrations and license applications
- Review the registration/licensing process with remote and UT-based employees.
- Provide links to applications and set up employees for fingerprinting/background checks.
- Track employee progress to ensure processes are completed on time.
- Alert Licensing of issues with background check.
- Follow procedures to ensure completed license/registrations are uploaded into required systems.
- Maintain tracking systems for renewals.
- Initiate and track renewals.
- State/Municipality Updates
- Monitor licensed/registered employee status changes to ensure compliance with required state notifications (new hires, terminations, address changes, name changes).
- Process alarm permit paperwork and payments as required (needs tbd).
- Licensing Support
- Act as the focal point to gather corporate/executive documents (signatures, mailing, copies).
- Act as the local point person for any local licensing “events” (fingerprinting on site, etc).
- Track and initiate business license renewals.
- Insurance or other Damage claims
- Receive and review insurance claims on an as needed basis.
- Coordinate with police and/or prosecutors’ offices when needed and provide documentation needed for restitution awards.
- Subpoena and Warrant responses
- Filling in for AJ on an as needed basis to respond to formal and informal third party video requests.
QUALIFICATIONS
- Experience managing employee registrations, licensing applications, and regulatory compliance processes a plus.
- Strong organizational skills with attention to detail and the ability to handle multiple tasks efficiently.
- Excellent communication and problem-solving skills to guide employees, address issues, and manage documentation.
- Familiarity with regulatory processes, including insurance claims, subpoenas, and background checks.
- Adaptability and willingness to take on additional responsibilities as needed.
- Proficiency with tracking systems and regulatory documentation management.
- Ability to serve as the local point of contact for licensing events and inquiries.
