
Order Management Specialist (Sales Support)

ABOUT THIS ROLE
We’re building a centralized Order Operations function to handle all quoting and order-processing workflows. This team exists to eliminate quoting friction, enforce pricing consistency, and support Sales at scale. You'll ensure every quote and order is accurately reviewed, validated, and ready for fulfillment in a timely manner, all while maintaining strict compliance with internal policies and external regulations like SOX and revenue recognition standards. This position is perfect for a detail-oriented and proactive individual with strong operational discipline. This role reports into the Revenue Operations team and will work closely with Sales, Customer Success, Legal, and Finance. High performers will have the opportunity to specialize, mentor new hires, or take on team lead responsibilities as the function grows.
RESPONSIBILITIES
- Review and process sales orders and contracts in Salesforce and our internal billing system, ensuring they align with product structures and company policies. This includes end-to-end management for new, expansion, and renewal orders as well as deactivation orders. This role creates, amends, and validates quotes in SalesForce CPQ for all order motions (new, renewal, expansion, true-up, and cancellations).
- Accurately handle a variety of account and unit-related changes, such as billing account changes, unit configuration changes, adding/removing features, and unit moves.
- Proactively identify and resolve discrepancies related to contract accuracy, system errors, and application issues. You'll ensure strict adherence to SOX controls, our booking policy, and audit requirements.
- Partner closely with Sales, Customer Success, Deal Desk, Legal, and Finance teams to resolve non-compliant orders and remove any deployment roadblocks. You'll also manage the request queue, providing timely responses to internal partners.
- Manage all incoming quote-related requests through a standardized and structured intake process, ensuring each request is captured, triaged, and resolved within defined SLAs. Maintain a clear queue of in-flight items and communicate status updates to internal stakeholders regularly.
- Contribute to month-end close activities and assist with quarterly financial reviews and audits. You'll adapt to evolving product offerings and manage technical and contractual changes effectively.
- Actively contribute to process documentation and participate in continuous improvement initiatives across the department, always looking for ways to enhance efficiency and accuracy.
- Effectively manage multiple priorities and deadlines in a fast-paced environment, ensuring all tasks are completed efficiently.
QUALIFICATIONS
- A Bachelor’s degree in Business, Finance, or a related field.
- At least 3+ years of experience in order management or billing.
- Solid understanding of order-to-cash processes and revenue recognition principles.
- Strong Excel skills, including pivot tables and formulas.
- Proficiency with Salesforce is a must.
- Experience with Salesforce CPQ strongly preferred; advanced candidates may be considered for senior specialist roles.
- A detail-oriented approach with excellent problem-solving and analytical skills.
- Outstanding time management and multitasking abilities.
- A clear communicator who can work effectively both independently and with other teams.
