Summary: The Resource Manager is responsible for the day-to-day coordination and optimization of Lockwood’s workforce planning efforts. This role ensures that the right talent is assigned to the right projects at the right time, supporting efficient delivery across client accounts and internal teams.
The Resource Manager works closely with project managers, business unit leaders, HR, and finance to track resource availability, monitor capacity, and align staffing with business needs. This role plays a critical part in ensuring timely project delivery, maximizing resource utilization, and maintaining visibility into staffing operations.
Key Responsibilities:
Workforce Planning & Resource Coordination
- Support project staffing by matching available personnel to current and forecasted project needs across business units.
- Maintain up-to-date records of employee availability, skillsets, and utilization through resource planning systems.
- Partner with project leads and account teams to confirm staffing allocations and address potential resourcing conflicts or gaps.
- Track freelance or contractor needs and coordinate with HR or vendors to support short-term staffing requirements.
Operational Support & Reporting
- Update and manage resource tracking tools and dashboards to ensure accurate, real-time visibility into team availability and assignments.
- Run weekly reports on utilization, capacity, and staffing projections to support business planning and decision-making.
- Help identify trends in over/underutilization and collaborate with the Senior Operations Manager to recommend adjustments.
- Support scenario planning and pipeline-based staffing projections in collaboration with the Operations and Finance teams.
Process Management & Improvement
- Ensure consistent execution of Lockwood’s resourcing processes, including assignment tracking, status updates, and time forecasting.
- Collaborate in maintaining and refining standard operating procedures for resource planning and workforce data reporting.
- Assist in the onboarding of new team members to resourcing systems and processes.
Collaboration & Communication
- Serve as a central point of contact for resource-related queries from project teams and department heads.
- Communicate resource availability and changes clearly and proactively to stakeholders.
- Support change management efforts by reinforcing the importance of accurate and timely resource updates across teams.
Qualifications
- 3–5 years of experience in resource coordination preferably in the Medical Communication Industry
- Strong organizational skills and attention to detail.
- Familiarity with resourcing tools, project management software, and workforce tracking systems (e.g., Float, Smartsheet, Workfront, Mavenlink, etc.).
- Solid analytical and reporting skills; proficiency in Excel and data dashboards a plus.
- Collaborative working style and effective communicator across teams and levels.
