Job Summary
This role oversees the full pre‑boarding process, ensuring all compliance requirements, documentation, and new‑hire preparations are completed accurately and on schedule. The position serves as a key liaison between candidates, hiring managers, and internal teams to support a smooth and positive transition into the organization. It also contributes to process improvements while consistently demonstrating the company’s PACT values.
Essential Job Responsibilities
- Partner with recruiters, hiring managers, and internal departments to execute all pre‑boarding tasks, including reviewing applicant profiles, initiating background checks and drug screens, tracking offer acceptance, and ensuring all requirements are completed in alignment with organizational timelines and compliance standards.
- Administer and manage onboarding documentation by sending, monitoring, and collecting required forms, maintaining accurate status tracking within the Recruiting spreadsheet, and promptly identifying or escalating any delays, discrepancies, or missing information.
- Serve as a proactive communication point for both candidates and hiring managers, providing new hires with clear pre‑start information, answering questions, offering guidance on next steps, and keeping managers informed of progress, potential delays, or documentation needs.
- Ensure cross‑functional readiness for each new hire’s start date by coordinating setup with internal teams and supporting continuous improvement efforts to enhance efficiency, accuracy, and overall candidate experience.
- Demonstrate and uphold the company’s PACT values—People, Advance Process, Community, and Trusting Relationships—through every interaction and workflow within the pre‑boarding process.
Minimum Qualifications
Required:
- Bilingual in Spanish, proficient speaking, reading and writing in Spanish and English.
- 1–2 years experience in HR coordination, recruiting, or onboarding support.
- Bachelor’s degree in human resources, business, psychology, or related field preferred.
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
- Strong communication and interpersonal skills, with the ability to build effective relationships and work collaboratively in a diverse, dynamic environment.
- Highly organized, detail‑oriented, and proactive, with the ability to manage multiple priorities in a fast‑paced setting and consistently deliver high‑quality work.
- Self‑motivated, adaptable, and flexible, able to adjust to evolving business needs and organizational strategies.
Preferred:
- Bachelor’s degree in human resources, business, psychology, or related field preferred.
- Familiarity with applicant tracking systems (e.g., Greenhouse, Workday, Workforce Go) and HRIS platforms preferred.
