We are seeking a detail-oriented and proactive Senior Accounts Payable (AP) Specialist to support the day-to-day execution of the AP function for our operations. This role will act as a key contributor in ensuring timely and accurate invoice processing, maintaining strong vendor relationships, and supporting internal stakeholders across the organization. The ideal candidate will bring strong AP experience, a hands-on approach, and the ability to operate effectively in a fast-paced, high-volume environment. This role will also support process improvements and help strengthen controls as we continue to scale.

Responsibilities:

  • Support the end-to-end accounts payable process, including invoice intake, coding, approvals, and payment processing.
  • Review and process a high volume of invoices, ensuring accuracy and compliance with company policies and approval workflows.
  • Assist with weekly payment runs (ACH, check, wire) and ensure timely vendor payments.
  • Monitor AP aging and follow up on outstanding invoices, discrepancies, and approvals.
  • Partner with internal teams (operations, accounting) to resolve invoice and vendor issues.
  • Maintain vendor records, including onboarding, W-9 collection, and payment details.
  • Ensure adherence to controls around invoice processing, vendor changes, and payment approvals.
  • Identify and escalate duplicate payments, discrepancies, or process gaps.
  • Support month-end close activities, including accruals and reconciliations.
  • Assist with audits, reporting, and ad hoc projects as needed.
  • Contribute to continuous improvement of AP processes, systems, and automation efforts.

Qualifications:

  • 3+ years of Accounts Payable experience.
  • Strong understanding of AP processes, controls, and best practices.
  • Experience in real estate, property management, or construction AP is strongly preferred.
  • Experience in high-volume or fast-paced environments.
  • Proficiency with accounting systems (e.g., NetSuite or similar ERP systems).
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Effective communication skills and ability to collaborate cross-functionally.
  • Experience with AP automation tools or system integrations is a plus.
