The Role

We are looking for a full-time Receptionist / Office Assistant to join our team in-person, five days a week, at our office in Midtown Manhattan. This role is essential to the firm’s operations. As a central point of coordination, you will interact daily with every member of our team – from junior staff to senior partners – to ensure a seamless and productive environment for everyone. Because this position serves as the primary point of contact for our external visitors and stakeholders, we are looking for a team member who brings a polished, professional presence and a friendly, welcoming disposition to every interaction.

What You’ll Do

Primary responsibilities include:

  • Managing conference room calendars and preparing each room for planned daily meetings
  • Greeting and seating guests and offering them refreshments
  • Receiving and distributing mail and packages
  • Coordinating lunch orders for the team and overseeing delivery/pick-up
  • Taking inventory of and replenishing office supplies and snacks
  • Wiping down conference tables and ensuring facilities are tidy and presentable
  • Being part of a collaborative and supportive team of administrative assistants
  • Completing monthly expense reports and supplies checklist
  • Assisting with event work on as needed basis
  • Maintaining the water schedule for office plants
  • Assisting with ad-hoc tasks, as needed

 

What You’re Like

Desired qualifications:

  • 1-2 years of experience in a receptionist or administrative assistant role
  • Proficiency in Microsoft Suite and Outlook
  • Experience in a financial office a plus
  • Comfortable in a fast-paced environment and skilled in wearing many hats
  • Team player with a growth mindset and can-do attitude
  • Self-starter who brings care and ownership to every task, big or small
  • Exceptional organizational skills with a knack for anticipating needs and independent problem solving
  • Intellectually curious, personable, and confident
  • Excellent communication skills
  • Keen eye for detail

Additional Details

Compensation for this role is: $60,000 - $70,000/year
