About the role 

We’re seeking an experienced Executive Personal Assistant (EPA) for our CEO and Founder. While exceptional calendar management and email communication skills are essential, we value someone who can independently adapt to last-minute changes with empathy and foresight.. Our ideal candidate has experience supporting startup founders in high-growth environments, balancing administrative excellence with strategic decision-making support, easing the mental load of administrative tasks while enabling high-impact planning for our CEO. 

As an EPA, you will be on call to provide comprehensive support to our CEO/Founder, ensuring seamless coordination of schedules, communication, and urgent needs outside of normal work hours, including some nights and weekends. This role requires managing confidential information with discretion and professionalism in a fast-paced environment.

This is a remote role, but the candidate must be based in the Bay Area to meet Celine in person, primarily in San Francisco. There is a high potential for travel in the future.

You will be reporting to our CEO - Celine Halioua .

Your daily work will include:

Executive Assistant (EA) 

  • Inbox Management: Oversee the CEO's inbox, autonomously triaging messages, responding when appropriate, flagging items for follow-up, and ensuring all communications are handled promptly.
  • Calendar & Scheduling Management: Take full ownership of the CEO’s complex schedule, prioritizing and dynamically adjusting based on evolving needs. Proactively coordinate with Sr. Recruiters and other admin staff to ensure seamless scheduling for interviews and high-priority meetings.
  • Task & Project Follow-Through: Track CEO’s to-do items using Todoist, ensuring timely completion and effective communication across teams. Keep the CEO updated with regular status reports on key projects, aligning cross-functional teams toward shared goals
  • Implement and maintain proactive follow-up systems to ensure the timely completion of projects and assignments. Independently track and monitor project progress, providing the CEO with regular updates on developments and status reports. Coordinate follow-ups and communicate progress with internal and external teams, ensuring alignment and timely completion of shared objectives.
  • Handle sensitive information with the highest level of empathy, responsibility, and discretion

Personal Assistant (PA) 

  • Personal Task Management: Independently manage all personal affairs including, but not limited to, booking personal appointments, reservations, travel arrangements, purchasing gifts, running errands, and maintaining personal files
  • Process Improvement: Continuously recommend and implement streamlined systems for documentation, renewals, and reminders for personal engagements
  • Adaptability for Ad Hoc Needs: Handle unexpected, high-priority needs as they arise, acting as a flexible problem-solver.

About you: 

  • Experience: 5+ years in a high level EA role supporting a CEO or Founder in a high-growth environment, with a track record of independently managing complex schedules and critical administrative tasks.
  • Autonomous Problem Solver: Demonstrated expertise in independently navigating and resolving complex administrative challenges. Resourceful, innovative, and persistent in tackling ambiguous problems, with a strong ability to "figure things out" when faced with uncertain or novel situations.
  • Tech savvy - Skilled at troubleshooting issues and using technology to make things easier 
  • An over-communicator: you understand the value in closing loops but know the usefulness of concise communication (Loyal does not believe in “business speak” or unnecessary corporate jargon)
  • You have experience in managing a Founder/CEO and can learn the patterns of when they work best (i.e. knowing that an early call after a late night flight is a precarious choice)

Salary Range: $140k-$165k
