Assistant Property Manager

Our Assistant Property Manager will be responsible for administration of all tenant leases, billing and collecting tenant receivables, updating lease status reports, generating monthly client reports, assisting in annual budget preparation, implementing procedures, cost controls and policies. This person will also be responsible for completing and maintaining property records, preparing routine reports, tracking and processing accounting data, assisting with special projects, processing work orders, oversee event planning, and assist Property Manager with duties as necessary.
Responsibilities:
- Oversee day-to-day issues for all office buildings
- Issue tenant, security, janitorial or project notices
- AP/AR
- Invoice coding and entry
- Contract administration
- Assist PM with scheduled and non-scheduled reports
- Coordinate tenant move-in/out with PM and Engineers
- Follow-up on tenant service requests to ensure work is completed in a timely and
- Professional manner by building engineer(s)
- Prepare Tenant rent invoices and adjustments
- Assist with sub-meter and billable work orders
- Janitorial inspections
- Landscaping inspections
- Assist PM with soliciting bids for service contracts
- Assist PM with operating budget
- Coordinate tenant social events
- Prepare monthly scheduled charges “Rent Up” and send monthly tenant billing statements.
- Scan rent check payments, review online bank accounts, and enter cash receipts
- Monitor and reconcile unapplied receipts
- Prepare tenant adjustment and refunds
- Monitor delinquency reports and pursue tenant collections
- Document collection activities
- Prepare late fees letter
- Assist PM with tracking and administration of letters of credit and tenant deposits
- Prepare Monthly Closing reports
- Assist with calculations of annual OPEX adjustments and reconciliations
- Code / Input vendor invoices
- Ensure vendors comply with VendorPay and NetVendor programs
- Prepare new vendor set-up forms by obtaining W-9s, Certificates of Insurance, and proof of VendorPay and NetVendor
- Assist PM with preparing monthly expense accruals
- Assist PM with annual operating budget and mid-year expense reforecast projections.
- Document legal or risk management review of contracts or insurance coverage
- Prepare and email tenant memos as directed by the property manager.
- Receive and dispatch tenant service requests to building engineer(s) using online work order system
- Coordinate tenant move-ins, move-outs, welcome gift or breakfasts, order new suite signs, etc.
- Review and abstract new lease agreements and enter terms in online accounting system
- Prepare vendor service contracts and one time scope of work contracts
- Assist the PM with building maintenance and janitorial inspections
- Oversee third-party vendor contracts (e.g. janitorial, security, etc.)
- Assist PM construction project schedule, monitoring activities, punch list and budget tracking
Desired Competency, Experience and Skills:
- Bachelor’s degree in related field preferred
- 3-5 years of previous experience in commercial property management
- Proficient in MS Office Suite especially Excel
- Proficient in MRI Accounting Systems
- Previous experience in real estate accounting, monthly accounting cycles, AP/AR and commercial leases
- Possess professional demeanor and excellent interpersonal skills
- Excellent communication skills, both written and verbal
- Comfortable with in-person and telephone communication with tenants, vendors and visitors
This position is 100% in-office. The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
