Job Description: 
We are looking for a highly organized and proactive Administrative Assistant to support Senior Directors in Chief Engineering and ensure the smooth operation of the department. This is a dynamic role, ideal for an individual who thrives in a fast-paced environment and is eager to develop their administrative skills while providing high-level support. The successful candidate will be detail-oriented, adaptable, and able to balance multiple priorities. 

Responsibilities: 

  • Provide high-level administrative support, including scheduling meetings, preparing documents, and organizing travel. 
  • Manage logistics for high-level meetings and both internal and external events. 
  • Prepare expense reports, purchase orders, assist with budget tracking, and handle other administrative tasks as needed. 
  • Maintain filing systems, manage office supplies, and ensure materials are organized. 
  • Conduct research, compile data, and assist in preparing presentations or reports for internal meetings. 
  • Support project management by tracking deadlines, coordinating team efforts, and ensuring deliverables are met. 
  • Serve as a liaison between internal departments and external stakeholders to facilitate communication and resolve issues. 
  • Proactively identify areas for additional support and offer assistance. 
  • Handle sensitive information with discretion and maintain confidentiality at all times. 

Qualifications: 

  • 1-2 years of experience in an administrative or office support role. 
  • Strong organizational skills with the ability to multitask and pay attention to detail. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. 
  • Excellent verbal and written communication skills. 
  • Ability to prioritize tasks effectively and adapt to changing priorities. 
  • Self-starter with the ability to work both independently and collaboratively. 
  • Professional demeanor with strong discretion and confidentiality. 
  • Engineering team support preferred.
