
Operations Administrative Assistant
Job Description:
We are seeking a highly organized and proactive Operations Administrative Assistant to support our Operations leadership team in Casa Grande, AZ. This position plays a key role in ensuring the smooth and efficient daily operations of a dynamic, fast-paced manufacturing environment. The ideal candidate is detail-oriented, thrives under pressure, and brings a proactive, collaborative mindset. This is an exciting opportunity to work closely with senior operations leaders and gain exposure to large-scale vehicle manufacturing processes.
You Will:
- Provide direct administrative support to the VP of Manufacturing and Sr. Director of Vehicle Assembly, including calendar management, meeting scheduling, travel arrangements, and preparation of documents and presentations.
- Serve as backup and overflow support for other Executive Assistants, ensuring seamless coverage across the operations team during absences or high-demand periods.
- Coordinate logistics for operations and plant-level meetings, internal events, and executive visits, including agendas, space booking, catering, and technology setup.
- Prepare and submit expense reports, track purchase orders, and support departmental budget and invoice reconciliation activities.
- Maintain organized and accessible filing systems (both digital and physical) for operational records, documentation, and reporting.
- Assist with the development and formatting of reports, dashboards, and presentations; support data collection and tracking of KPIs in collaboration with operations teams.
- Help track key project timelines and deliverables across manufacturing and assembly teams, ensuring accountability and on-time execution.
- Act as a liaison with internal departments, contractors, and external vendors to support communication and coordination across the organization.
- Recommend and implement administrative process improvements to streamline operations and enhance efficiency.
- Exercise discretion and maintain confidentiality in handling sensitive business and personnel information.
You Have:
- Bachelor's degree or equivalent work experience; background in operations, manufacturing, or industrial environment preferred.
- 2–3 years of administrative or executive support experience, ideally within an operations or production setting.
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities under tight deadlines.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); experience with manufacturing or ERP systems a plus.
- Excellent written and verbal communication skills, with a strong sense of professionalism.
- A proactive, self-starter attitude with strong problem-solving capabilities.
- Ability to work independently while also being a dependable team player.
- High level of discretion and professionalism in dealing with confidential information.
- Comfortable in a manufacturing plant environment with strong adaptability and situational awareness.
