
Order Operations Specialist
We are looking for an Order Operations Specialist to join our European Order Operations team based in Amsterdam. This team manages the entire order-to-fulfillment process and serves as the primary contact for Retail and Corporate Sales teams on all order-to-cash matters.
In this role, you will handle daily operations, support retail locations with inquiries and escalations related to orders and deliveries, and identify opportunities to improve processes and automation. Your contribution will help ensure smooth order placement, accurate tracking, and rapid deliveries—providing our Sales teams with an exceptional operational experience.
- Act as the primary point of contact for stakeholders, managing inquiries related to orders, pricing, incentives, vehicle assignments, readiness, invoices, and delivery.
- Provide proactive updates on order status, fulfillment, and delivery to ensure transparency.
- Partner with Sales and Delivery teams to secure orders and enable smooth vehicle handovers, applying a proactive approach where manual adjustments are needed.
- Manage vehicle inventory by ensuring accurate order allocation, release, and visibility on our websites.
- Efficiently resolve cases related to order configuration, pricing, invoices, refunds, and payments.
- Maintain data accuracy across systems throughout the order-to-delivery process.
- Ensure accurate order confirmations and invoices based on payment preferences.
- Support a structured and scalable Order Operations program, ensuring consistency in all aspects of vehicle orders and customer-facing documentation.
- Promote a knowledge-sharing culture by developing training materials, sharing best practices, and providing training to team members and stakeholders.
- Provide operational support for ad-hoc business initiatives.
Qualifications
- We are a start-up! This role requires a hands-on, proactive approach—it's not your typical 9-to-5.
- Minimum 2 years of experience in order management with a solid understanding of end-to-end supply chain processes.
- Strong written and verbal communication skills in English; German or Norwegian is a plus.
- Proficiency in Microsoft Office (Outlook, Excel); experience with Salesforce and SAP preferred.
- Passion for delivering an exceptional customer experience and understanding how operational efficiency impacts it.
- Self-starter with the ability to thrive in a fast-paced, high-energy environment.
- Curious mindset with strong organizational skills and attention to detail.
- Comfortable navigating ambiguity and creating structure in an evolving environment.
- Ability to collaborate cross-functionally and prioritize effectively to deliver major initiatives.
