Document Control Specialist
About the Position
We are seeking a skilled Document Control Specialist to join our team and play a crucial role in managing the lifecycle of critical project documents for a large-scale public works infrastructure program. This is a long term, full-time, hybrid (2 to 3 days in office per week) position located in New York City, NY.
Responsibilities
- Support the implementation and maintenance of program-wide document control protocols.
- Assist with intake, processing, and distribution of controlled documents (RFIs, submittals, meeting notes, drawings, specs, etc.).
- Ensure accurate document naming, version control, and coding per project standards.
- Track deliverables and support coordination of document reviews between internal teams and external stakeholders.
- Prepare document control reports, logs, and transmittals.
- Perform quality checks on document submissions for compliance with standards.
- Support record retrievals for audits, reporting, or executive briefings.
- Provide user assistance and troubleshooting within the project’s document management systems (e.g., SharePoint).

Minimum Qualifications
- Associate’s degree in Construction Management, Engineering, Business Administration, or a related field
- 3+ years of document control or records management experience supporting infrastructure, construction, engineering, or public-sector capital projects
- Experience with SharePoint and/or other EDMS platforms such as Aconex, ProjectWise, Procore, or Unifier
- Working knowledge of document control procedures, metadata tagging, and versioning.
- Proficient with Microsoft Office Suite/Office 365 (e.g., Outlook, Teams, Word, Excel, PowerPoint, etc.)
Preferred Qualifications
- Bachelor’s degree in Construction Management, Engineering, Business Administration, or a related field.
- Familiarity with aviation or transportation project environments is strongly preferred.
- Prior experience supporting Port Authority of NY & NJ projects or similar public agency requirements.
- Understanding of FAA, NEPA, or aviation-related regulatory documentation.
Compensation Details
The salary range listed for this role is $104k-$124k/year ($50-$60/hour) Please do not let our salary range deter you from applying if you are interested in the role. The final salary offered is based on multiple factors and is thoughtfully aligned with each candidate’s level of experience, breadth of skills, total education achieved, certifications/licenses that have been obtained, etc.
