Talent Acquisition Program Coordinator

About the Position  

We’re seeking a Program Coordinator to support our Talent Acquisition team. The primary focus of this role is to serve as a point of contact for internal and external stakeholders, which includes answering questions for candidates and staff; keeping our applicant tracking systems up to date; managing calendars and scheduling across multiple teams, locations and time zones; maintaining data integrity and document versioning on the Talent Acquisition SharePoint site; preparing candidates submittal packages; and navigating different processes, tools, and technologies. The role will help plan and coordinate various programs like our internship program, career webinars, and social media / recruiting activities. Additionally, the role will help identify process improvements and enhance the ‘candidate experience’ while supporting the Talent Acquisition team.  

This role is designed to provide foundational experience across recruiting operations, candidate engagement, systems administration, and program coordination, with opportunities for growth into a Talent Acquisition Specialist role if desired. This is a full-time, fully remote position, working Pacific time zone business hours. The position will need to support operations in all US time zones as needed.  

Responsibilities may include, but are not limited to, the following: 

  • Provide day-to-day administrative and coordination support for Talent Acquisition (TA) activities. 
  • Coordinate recruitment activities throughout the hiring process, partnering with TA, hiring managers, candidates, and other stakeholders to ensure a smooth and efficient experience. 
  • Serve as a point of contact for recruiting-related questions and issues, coordinating with appropriate team members to ensure timely and professional resolution.  
  • Calendar management for the TA team, including scheduling/re-scheduling TA, hiring manager, subject matter expert, panel, and client interviews. This involves working with executive assistants, team members, leadership, clients, and coordinating across multiple time zones. May coordinate travel where necessary.  
  • Create, modify, and maintain TA materials, including candidate submittal packages, resumes, job descriptions, checklists, presentations, and internal and external communications. Review materials for accuracy, completeness, consistency, formatting, and adherence to established standards. 
  • Enter and maintain documentation and data integrity in all recruiting tools and systems.  
  • Facilitate candidate outreach and TA marketing activities, including initial candidate contact, social media posts, recruiting branding activities, etc.   
  • Prepare summaries, reports, outlines, checklists, communications, and other support materials while ensuring appropriate reviews for accuracy, confidentiality, and approval.  
  • Support continuous improvement by identifying repetitive tasks, researching solutions, and helping document simple, repeatable processes.

Minimum Qualifications  

  • High school diploma or GED.  
  • 2+ years of professional experience in recruiting coordination, program coordination, administrative support, operations, customer service, or a related field. 
  • Basic understanding of recruitment and hiring processes or the ability to quickly learn recruitment workflows, candidate communications, and interview coordination processes. 
  • Experience working within technology platforms used to track, organize, and manage candidate, customer, employee, or stakeholder information. Experience with Greenhouse, HubSpot, or similar systems preferred.  
  • Proficiency with Microsoft 365 (e.g., Outlook, Word, Excel, Teams, PowerPoint, and SharePoint).  
  • Ability to work regular business hours in the Pacific time zone with the flexibility to support other time zones as needed.  

Preferred Qualifications  

  • Associate’s degree in business administration, technical communication, marketing, communications, professional writing, or related field.  
  • Demonstrated interest in talent acquisition, recruiting, or people-focused work with a desire to grow into a Talent Acquisition Specialist career. 
  • Experience using AI productivity tools (e.g., Microsoft Copilot, Claude, or similar) to improve productivity while validating AI-generated content for accuracy prior to use.   
  • Familiarity with Microsoft Power BI, Power Automate, Power Query, or other tools for creating dashboards and automating tasks.   

Compensation Details  

Expected Salary: $45k-$55k/year ($21-$26/hour). Luster provides the salary range that the company in good faith believes it might offer for this position based on the successful candidate’s level of experience, knowledge, skills, abilities, education, certifications, licenses, geographic location, etc. Luster reserves the right to ultimately pay more or less than the posted range depending on circumstances not related to any status protected by local, state, and/or federal law.
