About This Role:

The Associate Knowledge Manager plays a crucial role in Macrae’s global knowledge management task force, supporting local recruiting teams in driving revenue and delivering exceptional service to clients and candidates. This role’s primary responsibility is to ensure the company’s collective intelligence is accurately and promptly entered into the database, making it accessible to recruiting teams worldwide. Additionally, the Associate Knowledge Manager oversees the maintenance of their local office’s equipment and inventory. They also support the local knowledge management team by drafting emails and documents, contributing to projects, and conducting research using both internal databases and external resources. A key aspect of this role is equipping recruiters, staff, and management with up-to-date system data to enhance decision-making and operational efficiency.

The primary duties of the Associate Knowledge Manager include, but are not limited to, the following:

1. Recruiter & Team Support

  • Collect information from Recruiters, Knowledge Managers, and Strategic Researchers via call notes, meeting notes, and emails for data-entry.
  • Work with the local Knowledge Management team to ensure that Recruiters and Managers receive superior administrative support.
  • Assist on research requests with the guidance of a Knowledge Manager, Strategic Researcher, or Recruiter.
  • Provide support in scheduling client, recruiter, and candidate meetings, interviews, and video conferences as needed.
  • Manage the physical office’s needs including inventory, checking on the maintenance of office equipment, and receiving phone calls for the local office.

2. Market Intelligence & Data Management

  • Enter data from source documents into the prescribed computer databases (SharePoint and Invenias).
  • Check source documents/data for accuracy, and correct data where necessary.
  • Obtain further information for incomplete documents or system entries.
  • Update data and archive unnecessary/outdated files.
  • Combine and rearrange data from source documents where required.
  • Transcribe information into the required electronic format.
  • Store completed documents in designated locations.
  • Respond to requests for information and access relevant data.
  • Comply with company data integrity and security policies.
  • Identify, capture, record, and deliver information needed to all team members and company-wide, as needed.

Preferred Qualifications:

Work Experience:

  • Must have a minimum of 3 years of professional work experience in a support role at law firms, legal or executive search, professional services industries, and/or with C-levels (or equivalent experience).

Education:

  • Bachelor’s Degree or equivalent, is preferred.

Skills and Attributes:

  • Attention to detail, and written/oral communication are critical in this role.
  • Candidates must be proficient in Microsoft Office 365 applications (Outlook, Word, and Excel), Adobe Acrobat Pro, and possess the ability to learn new databases as needed quickly.
  • The successful candidate thrives in a high-volume, fast-paced work environment and can prioritize and manage multiple projects and competing deadlines.
